THE ROLE

This position provides administrative and project support to the Global Security team, ensuring the smooth operation of team activities. Responsibilities include project coordination, calendar and meeting management, travel arrangements, purchasing, report preparation, and expense tracking. Success in this role requires strong organizational skills, attention to detail, and the ability to manage multiple tasks efficiently.

The ideal candidate is highly organized, detail-oriented, and capable of managing multiple priorities in a fast-paced environment. They possess strong communication and collaboration skills, enabling them to build effective relationships across teams. Adaptability, professionalism, and a proactive approach are essential for success in this role.

KEY RESPONSIBILITIES
  • Provide administrative support, including calendar management, meeting coordination, travel arrangements, data processing, and expense reporting.
  • Track and manage key organizational data, including budgets, travel, and equipment.
  • Organize team events, such as group meetings, offsites, and celebrations, coordinating with internal and external contacts.
  • Arrange catering for meetings, welcome guests, and coordinate offsite lunches and dinners.
  • Manage department purchases, including opening purchase orders and reconciling procurement card expenses.
  • Process and track expense reports and corporate credit card reconciliations in accordance with company policy.
  • Leverage knowledge of business operations to improve efficiency and workflow within the team.
PREFERRED EXPERIENCE
  • Relevant administrative experience.
  • Proficiency in Microsoft Office applications, including Outlook, Word, PowerPoint, Excel, and SharePoint, with a strong focus on calendar management.
  • Experience in a fast-paced customer service environment.
  • Background in a technology company supporting a globally diverse team.
ACADEMIC CREDENTIALS
  • Bachelor's degree or equivalent experience.
