Position Summary

The Shop Project Manager is responsible for coordinating and managing the front-end operations of the shop, ensuring efficient workflow from customer request through quoting, scheduling, and project completion. This role serves as the primary coordination point between customers, the shop team, and internal stakeholders to ensure projects are executed safely, efficiently, and to the highest quality standards.

Reporting to the General Manager, Shops , the Shop Project Manager plays a key leadership role in organizing shop activities, supporting customer service, and ensuring projects are delivered on time and within scope while supporting the overall business objectives of Applied Industrial Technologies Canada.

Roles and Responsibilities
  • Lead the front-end coordination of shop operations, including project intake, quoting support, scheduling, and workflow management.
  • Act as the primary customer-facing contact for shop services, providing technical guidance, status updates, and ensuring strong customer relationships.
  • Coordinate incoming service requests and translate customer requirements into shop work orders and project plans.
  • Support the preparation, review, and approval of repair, machining, and fabrication quotations and proposals.
  • Manage shop workflow by prioritizing jobs, coordinating schedules, and ensuring resources are aligned with customer commitments and production capacity.
  • Work closely with shop technicians to ensure projects are executed efficiently, safely, and according to quality standards.
  • Monitor project progress and communicate updates to customers and management while proactively addressing potential delays or issues.
  • Promote and actively support the shop safety program, ensuring all processes comply with safety regulations and company policies.
  • Maintain and support the shop quality system, ensuring both corporate and customer quality standards are upheld.
  • Coordinate rush jobs, customer priorities, and scheduling adjustments as required.
  • Participate in production and safety meetings and contribute to continuous improvement initiatives.
  • Review shop processes and identify opportunities for efficiency improvements, workflow optimization, and operational effectiveness.
  • Provide clear and professional communication with employees, customers, and management.
  • Support the hiring, onboarding, and development of future shop personnel when required.
  • Contribute to the overall success and profitability of the operation through strong coordination, planning, and customer service.
Work Experience
  • The ideal candidate is an experienced professional who combines technical shop knowledge with strong administrative, coordination, and customer service skills.
  • This individual must be able to organize multiple projects simultaneously, communicate effectively with both customers and technicians, and ensure smooth execution of shop operations.
  • Candidates should demonstrate experience working in an industrial service environment where repair, machining, or fabrication services are provided, along with a proven ability to coordinate workflow and support operational efficiency.
Qualifications
  • 3–5 years of experience in the power transmission, fluid power, rotating equipment, machining, or industrial service industry, or equivalent experience.
  • Strong organizational, coordination, and administrative skills with the ability to manage multiple priorities.
  • Experience supporting quoting, scheduling, and work order management processes.
  • Customer-focused with excellent communication and relationship-building skills.
  • Proficiency with work order management systems and Microsoft Office applications.
  • Working knowledge of industrial products, repair processes, and technical service environments.
  • Ability to work independently while collaborating with cross-functional teams.
  • Strong attention to detail and ability to maintain accurate documentation and project tracking.
  • Demonstrated ability to lead workflow coordination and support a high-performing technical team.
