Senior Transportation Specialist
Mission:
The Senior Transportation Specialist will have a practical working knowledge of both Domestic and International freight forwarding services, with the ability to maintain direct relationships with transportation vendors. This role is responsible for ensuring the achievement of transportation objectives in accordance with business planning while executing daily activities to meet customer requirements, operational goals, and revenue/cost targets. Additionally, the role supports comprehensive parcel delivery operations across the U.S., Canada, and Puerto Rico by monitoring transport lead times, communicating with carriers and field teams, and ensuring efficient resolution of delivery and return issues.
Scope:
This position reports to the Logistics Manager, North America, collaborating closely with local, global, and internal functional partners, field representatives, and external logistics providers (including UPS, FedEx, Purolator, 3PLs, carriers, and agents).
Role Expectations:
1. Network Management & Parcel Coordination
- Complete daily network management tasks, including issuing bills of lading, tracking and tracing active in-transit shipments, and confirming scheduled pickups and deliveries with transportation vendors and field staff.
- Monitor transport lead times and ensure timely parcel (T&T) deliveries across the U.S., Canada, and Puerto Rico.
- Coordinate parcel pickups and returns with carriers and field teams.
- Handle hard copy document imaging requirements, service nonconformance investigations, and the resolution of billing issues and vendor aging statements.
2. Strategic Capacity & Contract Administration
- Support the addition of strategic capacity to the transportation network to meet existing volume and scale for future growth.
- Administrate Truckload, LTL, and Final Mile Agent contracts per predefined onboarding procedures.
- Build and maintain strong relationships with carriers and agents, remaining available for vendor escalations across all domestic time zones.
3. Communication & Issue Resolution
- Serve as a primary contact for inquiries from field representatives, carriers, and internal departments.
- Manage parcel-related issues, complaints, and claims via email, phone, and Microsoft Teams.
- Interact with Logistics, Operations, and Key Accounts Management to troubleshoot client complaints and proactively intervene to solve problems related to network performance.
- Participate in formal claims management processes with network providers.
4. Financial & Administrative Support
- Ensure timely payments to transportation vendors through properly coded invoice submission and tracking.
- Process return packages and create return labels as needed.
- Support logistics documentation and ensure proper filing of carrier correspondence.
5. Data Analysis, Reporting & Continuous Improvement
- Prepare monthly lead-time and performance reports for all carriers, utilizing Excel for evaluations and statistical analyses.
- Prepare routine and ad hoc internal reports to monitor transportation vendor cost trending and service performance for Senior Management.
- Identify ways to reduce Line haul and First/Final mile costs through improved load planning and routing practices.
- Ensure transportation vendors have the most current tools and training available for efficient workflow, and implement new technologies to expedite the exchange of pickup and delivery information.
Immediate Critical Outcomes:
- First 30 Days: Gain a comprehensive understanding of the company's business model, structure, and partnership with the Beeline Logistics Center and 3PLs. Establish accurate and efficient parcel monitoring procedures.
- First 60 Days: Administrate Agent contracts and other legal documents for current domestic transportation partners, support onboarding of new agents per the business plan, and deliver consistent monthly carrier performance and lead-time reports.
- First 90 Days: Gain a basic understanding of company utilization of ERP and WMS platforms. Improve resolution times for carrier-related complaints, issues, and returns.
Critical Experiences & Skills:
- BA/BS Degree in a related field is preferred.
- 3+ years of experience in a transportation or logistics environment—including direct tenders to carriers, agents, and brokers—or an equivalent combination of education and experience.
- Ability to acquire TSA certification is required.
- Deep understanding of freight tender processes, including common types of bills of lading.
- Strong organizational, analytical, and problem-solving skills with a high level of accuracy and the ability to stay calm under pressure.
- Ability to multi-task concurrent, high-priority projects.
- Good supervisory and leadership skills, with a commitment to executing department goals.
- Excellent English communication skills, both oral and written ; knowledge of additional languages is an asset.
- Some travel required, including the experience to safely engage with warehouse and dock locations for training or audit purposes.
- Proficient in MS Office Suite (particularly Excel) and Google platforms.
- Working knowledge of ERP systems and Transportation Management software; SAP experience is a plus.
