Position Summary  

Reporting to the Associate Vice President of Finance and Campus Operations or designee, this position directs and supervises the warehouse, and campus support operations programs for Bellevue College. The position is responsible for planning, organizing, assigning, and evaluating the work of warehouse personnel. The position develops and implements operational procedures, safety practices, staffing plans, and budget recommendations necessary to support college operations. Responsibilities include oversight of warehouse and logistics operations, contractor coordination, project support, budget administration, purchasing, inventory management, and operational communications. The position serves as a key operational leader within Campus Operations and works collaboratively with college leadership, contractors, vendors, regulatory agencies, and campus stakeholders to ensure college support services are maintained in a safe, efficient, and cost-effective manner. Work hours: Monday-Friday 7am-3:30pm, subject for future changes and adjustments.

Pay, Benefits & Work Schedule  

Position Salary Range: $66,024/year - $88,752/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations.

The employee is scheduled to work 40 hours per workweek. This is a Classified, non-represented position, not eligible for overtime.

About the Department  

Campus Operations and Finance support the campus community for all facilities and financial related projects and services. The Campus Operations department is comprised of Capital Projects, Custodial, Grounds, Maintenance, Sustainability, and Warehouse and Delivery. Finance includes Budget, Accounts Receivable, Accounts Payable, Accounting, Grants and Contracts Compliance, Asset Management, Banking, Reporting, Student Financial Services, Travel, Risk Management, and Internal Controls.

Essential Functions  

Service Coordination

  • Receive and route incoming inquiries and requests via telephone, written, and electronic and face-to-face interactions.
  • Monitor service delivery and operational performance.
  • Maintain operational records and documentation.
  • Support emergency response and operational continuity efforts.

     

Warehouse, receiving, inventory, and logistics operations

  • Direct warehouse, receiving, inventory, delivery, and distribution operations.
  • Coordinate central receiving and campus distribution services.
  • Maintain inventory control systems and asset tracking records.
  • Manage surplus property activities and material disposition.
  • Coordinate supply procurement, storage, and distribution activities.
  • Monitor inventory levels and operational resource needs.

     

Personnel supervision and operational leadership

  • Direct, assign, prioritize, and evaluate work activities of assigned personnel.
  • Develop work schedules and staffing plans.
  • Participate in recruitment, onboarding, training, and performance management activities.
  • Review and approve timesheets and leave requests as delegated.
  • Monitor safety compliance and operational performance.
  • Recommend process improvements and operational efficiencies.
  • Supervise and mentor a diverse team, fostering a high-performance work environment.
  • Enhance employee performance through targeted coaching, feedback, and career development initiatives, fostering an increase in staff retention and productivity.
  • Manage employee relations, including performance evaluations, disciplinary actions and conflict resolution, to ensure fair and consistent application of policies.
  • Streamline work assignment processes, align tasks with job classifications and enhance team productivity.
  • Manage the warehouse staff, performing work and other work duties.
  • Review, evaluate, revise and recommend changes for the operating procedures and processes.
  • Ensure compliance to Federal and State Regulations, pertinent college policies and procedures, and relevant collective bargaining agreements.
  • Develop and update departmental policies and procedures, enhancing operational efficiency and compliance.

     

Megamation and work order administration, facilities communications

  • Serve as the primary administrator for the college's computerized maintenance management system (Megamation).
  • Receive, review, prioritize, assign, track, and close facilities work orders.
  • Monitor work order status and ensure timely routing and completion of service requests.
  • Maintain work order records, maintenance histories, service documentation, and system data integrity.
  • Input data and generate reports, metrics, and operational data related to maintenance performance and service delivery.
  • Serve as a liaison between Facilities Services, campus departments, contractors, vendors, and customers regarding service requests and maintenance activities.
  • Provide customer service support at front office and follow-up facilities service requests in the form of radio, telephone, email, and reception duties.

Contract administration, budget support, records management

  • Coordinate contractor and vendor activities supporting Campus Operations.
  • Assist with procurement, quotes, purchasing, and budget tracking activities.
  • Maintain departmental reports and operational documentation.
Minimum Qualifications  
  • Three (3) years of applicable experience as a skilled trades worker, facilities maintenance professional, facilities operations employee, or power plant engineer, including one (1) year of lead or supervisory experience.
  • Experience administering a computerized maintenance management system (CMMS), including work order management, preventative maintenance scheduling, assets and equipment (for example forklift, electric carts)  records management, labor and materials tracking, reporting, workflow development, and system configuration; experience serving as a Megamation system administrator strongly preferred.
  • Experience developing, implementing, and maintaining preventative maintenance programs utilizing a CMMS to support regulatory compliance, equipment reliability, deferred maintenance planning, and operational efficiency.
  • Experience analyzing maintenance performance metrics, work order backlogs, service levels, and asset lifecycle data to support operational decision-making and continuous improvement.
  • Experience training and supporting staff in the use of work order systems, maintenance processes, and facilities service request procedures.
Preferred Qualifications  
  • Three (3) years of progressively responsible experience in facilities maintenance, building operations, custodial services, grounds maintenance, warehouse operations, logistics, or related facilities support functions, including at least one (1) year in a lead or supervisory capacity.
  • Experience supervising and coordinating the work of skilled trades personnel, custodial staff, grounds personnel, warehouse staff, contractors, vendors, or service providers.
  • Knowledge of building systems, preventative maintenance programs, facility operations, safety practices, and regulatory compliance requirements.
  • Experience conducting facility inspections and identifying maintenance, repair, renovation, and operational needs.
  • Experience developing operational procedures, work processes, service standards, and departmental policies.
  • Experience preparing, monitoring, or administering operational budgets and expenditures.
  • Experience managing inventory systems, warehouse operations, receiving functions, surplus property programs, or logistics operations.
  • Strong customer service, communication, and stakeholder engagement skills, with the ability to work effectively with employees, students, contractors, vendors, and campus departments.
  • Demonstrated ability to analyze operational data, prepare reports, maintain records, and recommend process improvements.
  • Proficiency with Microsoft Office Suite and business software applications.
  • Equivalent education and experience may substitute for the desired qualifications.
