The Enrollment Area Manager is responsible for overseeing enrollment operations, systems compliance, and pipeline performance for Charter Schools USA schools within an assigned geographic
This role ensures schools achieve and sustain programmatic capacity through effective enrollment strategies, optimized systems and processes, accurate documentation, and strong school-based execution.
The Enrollment Area Manager serves as a field leader and capacity builder, accountable for the recruitment, onboarding, coaching, and mentoring of school-based Enrollment and Marketing Administrators. The role also provides strategic insight through data analysis, competitive review, and SWOT-based planning to proactively address enrollment risks and opportunities.
Success is defined by full enrollment, strong pipeline conversion, audit-ready records, system integrity, informed enrollment strategy, and confident, well-trained school teams delivering a high-quality family experience.
How You Will Impact Education
Enrollment Strategy, Pipeline, and Performance Leadership
- Lead area-wide enrollment strategy aligned to CSUSA goals, state requirements, and school capacity targets.
- Monitor application, enrollment, waitlist, retention, and over-enrollment pipelines; identify risks, trends, and opportunities for improvement.
- Partner with Marketing Area Managers and school leaders to align outreach, yield strategies, and conversion efforts and collaborate on the development of an integrated marketing plan.
- Conduct ongoing analysis of enrollment data to inform priorities, interventions, and resource allocation.
- Present enrollment performance, risks, action plans, and strategic insights to senior leadership and key stakeholders.
Market, Competitive, and SWOT Analysis
- Conduct ongoing market and competitive analysis for assigned schools, including district, charter, private, and alternative education options.
- Assess competitive positioning related to programs, academic offerings, transportation, extracurriculars, messaging, and enrollment practices.
- Lead or support school-level SWOT analyses (Strengths, Weaknesses, Opportunities, Threats) to inform enrollment strategy, recruitment planning, and annual goal setting.
- Translate SWOT and competitive insights into actionable recommendations for recruitment focus, messaging priorities, timeline adjustments, and yield strategies.
- Support new school launches, grade expansions, and turnaround efforts with targeted enrollment and capacity-building plans.
School-Based Enrollment Operations and Family Experience
- Serve as the primary enrollment advisor to school leaders, Enrollment and Marketing Administrators, Student Records and Data Specialist, and school staff.
- Support execution of lotteries, enrollment events, orientations, onboarding processes, and grade-level transitions.
- Ensure delivery of a consistent, compliant, and red-carpet enrollment experience from first inquiry through the first day of school.
- Support recommitment and internal enrollment efforts for returning families and rising-grade cohorts.
Systems Oversight and Data Integrity
- Serve as subject matter expert for enrollment systems including HubSpot, SchoolMint, PowerSchool, and related CSUSA, district, and state platforms.
- Ensure accurate, timely, and secure data entry, record maintenance, and system usage across all assigned schools.
- Coordinate system integrations and data alignment with internal CSUSA departments.
- Oversee annual database rollovers, enrollment freezes, audits, and reporting cycles.
Compliance, Records, and Audit Readiness
- Ensure adherence to district, state, federal, and CSUSA regulations related to enrollment, attendance, records, and FERPA.
- Oversee funding and compliance submissions including scheduling, course coding, class size documentation, and certification accuracy.
- Prepare schools for audits, monitoring visits, and compliance reviews; guide corrective actions.
- Monitor error reports, compliance flags, and data-quality indicators; lead corrective action plans.
Talent Leadership: Enrollment and Marketing Administrators
- Lead recruitment, selection, and onboarding of school-based Enrollment and Marketing Administrators in partnership with school leaders and Human Resources.
- Establish clear role expectations, enrollment performance metrics, and accountability structures aligned to CSUSA goals.
- Provide ongoing coaching, mentoring, and professional development to build capacity, consistency, and confidence across school teams.
- Conduct regular performance check-ins, pipeline reviews, and feedback conversations.
- Identify performance gaps and collaborate with school leaders to implement improvement plans or additional support.
- Ensure school-based administrators are trained on enrollment systems, compliance requirements, documentation standards, family experience expectations, and urgency norms.
Training, Standardization, and Continuous Improvement
- Determine enrollment, records, and system training needs across the assigned area.
- Develop, refine, and support standard operating procedures and best-practice guides.
- Design and deliver area or state-wide training through workshops, job-embedded coaching, system demonstrations, and documentation.
- Maintain awareness of regulatory updates, system enhancements, and emerging best practices in K-12 enrollment management.
- Recommend new or revised policies, tools, and processes to improve enrollment performance and compliance.
Cross-Functional Collaboration
- Collaborate closely with Marketing Area Managers to co-manage the marketing and enrollment funnel.
- Partner with internal CSUSA departments to support system alignment, data accuracy, and operational efficiency.
- Support special state or national initiatives, pilots, committees, and projects as assigned.
Required Qualifications and Skills
- Deep knowledge of enrollment operations, pipeline management, and data integrity.
- Strong understanding of student records compliance, audits, and regulatory requirements.
- Demonstrated ability to coach, mentor, and develop school-based staff.
- Strong analytical skills, including use of data, competitive review, and SWOT analysis to drive decisions.
- Excellent project management, organizational, and communication skills.
- High level of professionalism, discretion, and confidentiality.
Job Requirements
- Bachelor's Degree in Business, Education Administration, Information Systems, or a related field.
- Minimum three to five years of enrollment operations, admissions, or student records experience, preferably in K-12 education.
- Experience leading, coaching, or training school-based or field-based teams.
- Strong experience with SIS, CRM, and enrollment platforms.
- Proficiency with Microsoft Office (Word, Excel, PowerPoint) and database systems.
- Willingness to travel within or outside the state as required.
