The Project Inside Sales Representative / Project Engineer will be responsible for quoting and managing industrial project opportunities from initial bid through order execution and invoicing. This position will work closely with Project Managers, Outside Sales Representatives, customers, vendors, and manufacturing partners to ensure opportunities and orders are accurately quoted, entered, purchased, managed, and invoiced.
The ideal candidate is highly motivated, organized, comfortable working in a fast-paced environment, and interested in developing both commercial and technical knowledge of valves, instrumentation, filtration, and other industrial products.
Key Responsibilities- Develop project quotations with Project Engineering team, including material takeoffs, specification review, product selection, vendor requests, and quote workups.
- Review customer specifications, datasheets, and bid documents to identify technical and commercial requirements.
- Work with vendors and manufacturers to select appropriate products and obtain pricing, lead times, and technical information.
- Prepare quote workups and supporting documentation for customer proposals.
- Enter and manage customer orders from purchase order receipt through shipment and invoicing.
- Create, issue, and manage vendor purchase orders, ensuring pricing, scope, delivery requirements, and documentation are aligned with customer requirements.
- Manage vendor and manufacturer communication, including order acknowledgments, submittals, documentation, production status, expediting, and delivery.
- Manage project invoicing and billing milestones, including progress payments and other project-specific invoicing requirements.
- Track and follow up on customer payments, outstanding invoices, and other commercial items as required.
- Coordinate order changes, change orders, revisions, and associated commercial impacts.
- Maintain accurate project, quote, purchase order, and order information within internal systems and project tracking tools.
- Coordinate internally with Project Managers, OSRs, purchasing, operations, accounting, and other stakeholders to keep projects moving.
- Communicate with customers regarding order status, documentation, schedules, commercial requirements, and outstanding actions.
- Take ownership of assigned quotations and orders while escalating technical, commercial, or schedule risks to the appropriate Project Manager.
- Perform general inside sales functions as needed to support the continued growth of the Project Team.
- Experience in inside sales, project management, project engineering, estimating, industrial distribution, or a related field preferred preferred.
- Engineering or technical background is beneficial but not required
- Strong organizational skills and the ability to manage multiple quotations and orders simultaneously.
- Strong written and verbal communication skills.
- Detail-oriented with the ability to interpret technical specifications and commercial requirements.
- Comfortable working directly with customers, vendors, manufacturers, and internal sales teams.
- Self-motivated with a strong sense of ownership and follow-through.
- Ability and desire to develop technical product and application knowledge.
- Comfortable working in a fast-paced, project-driven environment with changing priorities and deadlines.
Success in this position means becoming a reliable resource across the entire Project Team; increasing our capacity to quote new opportunities while taking ownership of the inside sales activities required to execute awarded projects. The individual should be able to keep quotations, orders, vendors, invoicing, and outstanding actions moving without requiring constant direction, while knowing when to engage the Project Manager on technical, commercial, or customer issues.
