Description

The Workers' Compensation Administrator provides administrative and clerical support to the Workers' Compensation team and serves as backup coverage for Specialists during absences. This role provides technical workers' compensation assistance to Harbor Freight Tools locations nationwide and works closely with associates, management, third-party administrators, and external vendors. The Administrator helps ensure workers' compensation claims are handled accurately, efficiently, and in compliance with applicable state and federal regulations, as well as company policies and procedures.

Duties and Responsibilities

  • Provide administrative and operational support to the Workers' Compensation team and the Director of Safety, Health, Environmental, and Workers' Compensation.   
  • Review Injury and Illness Reports and workers' compensation forms for accuracy, completeness, and compliance with established procedures.       
  • Prepare and distribute introductory correspondence to injured Associates.          
  • Maintain electronic claim records and documentation within the Luminos claims management system.       
  • Upload and document the medical work status reports in Luminos to ensure accurate claim records.
  • Monitor the HFT New Store Status Report and coordinate the timely assignment of occupational medical clinics, distribution of required postings, and related communications.            
  • Enter and maintain medical refusal data within the workers' compensation shared drive.  
  • Communicate with medical clinics and healthcare providers to support the timely and accurate processing of workers' compensation claims.
  • Process wage statement requests, coordinate with Payroll for completion, and ensure timely submission of wage information to claims adjusters.          
  • Monitor and manage the workers' compensation email inbox, ensuring incoming communications are reviewed, documented, attached to the appropriate claim files and systems, and forwarded to the appropriate contacts in a timely manner.         
  • Update and maintain the Monopolistic States spreadsheet with new injuries and medical refusals to support OSHA recordkeeping requirements.  
  • Upon notification of litigation or receipt of a subpoena, request and forward personnel records to designated defense counsel in accordance with company procedures.          
  • Communicate weekly with Aflac and the Leave of Absence team regarding Associates on workers' compensation leave to ensure accurate coordination of benefits, leave status, and claim-related information.      
  • Review, code, document, and route invoices to the appropriate parties for processing and payment.        
  • Prepare check payment requests related to claim settlements, resignations, or other approved transactions.        
  • Monitor, distribute, and maintain incoming correspondence through electronic mail systems.     
  • Participate in claim reviews, vendor meetings, departmental meetings, and training programs to support continuous improvement and compliance initiatives.
  • Handle confidential and sensitive information with the highest level of discretion, professionalism, and integrity.   
  • Collaborate effectively within a team environment to achieve departmental objectives and support overall company goals.   
  • Provide coverage and support for Workers' Compensation Specialists during absences to ensure continuity of service and claim administration processes.

The anticipated range for this position is $21.92 – $32.98 per hour depending on location, knowledge, skills, education and experience. In addition, we offer comprehensive and competitive benefits to Associates (and their families) such as early access to pay, medical, dental, vision, life insurance, short-term and long-term disability. Eligible Associates are able to enroll in our company's 401k plan. Associates will accrue paid time off up to 236 hours per year (inclusive of PTO, floating holidays, and paid holidays). Paid sick time up to 80 hours per year unless otherwise required by law.

Education and Experience
Education Requirements
  • Associate degree (AA) preferred; however, candidates with equivalent college coursework, credits, and/or a combination of relevant education and experience will be considered.
Years of Experience
  • Minimum of 2 years of experience in Workers' Compensation, Leave of Absence (LOA), or a related claims administration field. Experience supporting employee leave programs and workers' compensation processes is preferred.
Skills
  • Proficient in electronic correspondence and file maintenance
  • Demonstrate basic knowledge of workers' compensation concepts and practices
  • Specific Systems: Strong Knowledge of Microsoft Office, Excel and Word.
