Note: The compensation range noted above represents the base salaries for all positions at a given grade across the health system. Typically, a new hire can expect a starting salary somewhere in the lower part of the range. Actual salaries will be determined based on the candidate#s relevant experience. No employee will be paid below the minimum of the range. Valley Health Systems, Inc., the parent company of Holyoke Medical Center, provides a broad range of physician services in offices conveniently located throughout Western Massachusetts.# Holyoke Medical Center is an independent community hospital that has served the healthcare needs of the Pioneer Valley for over 125 years.# We continue to grow and address the needs of our community through quality and patient-centered care.# Our Neurology # Sleep#Physician Practice in Holyoke is seeking an experienced Office Assistant. This individual will assist in coordination of the office for physician practice, patient care and provide clerical support.# Overview of responsibilities include but are not limited to: Greet patients, update demographics, and enter information into the electronic medical record (EMR). Scan insurance cards, verify eligibility, and document co-pays, balances, and billing information. Inform patients of delays and follow established check-in protocols. Print and provide visit summaries, lab orders, and other patient documentation. Schedule follow-up appointments, diagnostic tests, and specialist referrals, completing prior authorizations as needed. Answer phones courteously, log telephone encounters, and manage patient communications. Sort and scan mail, follow fax protocols, and notify clinical staff of urgent or walk-in patients. Maintain referral logs, track open referrals, and complete daily batch processes for collected charges. Manage office supplies and equipment, including restocking, maintenance, and reporting malfunctions. Maintain a safe, clean work environment, communicate effectively with patients and coworkers, and attend assigned meetings or trainings. Qualifications: Education:#High School Graduate or Equivalent Experience:#Experience working with third party payers and working knowledge of ICD-9 and HCPC coding preferred; two years of experience in a physician#s office or similar environment preferred Special Aptitudes # Activities:#The ideal candidate demonstrates strong interpersonal and customer service skills, with the ability to communicate effectively and follow instructions accurately. This role requires strong organizational abilities, attention to detail, and proficiency in computer use, typing, transcription, and filing. The ability to manage multiple tasks efficiently is essential, and bilingual skills in English and Spanish are preferred.
