IOWA SELECT FARMS JOB DESCRIPTION 

TITLE: Accounts Payable Specialist—Part Time                                                             

REPORTS TO: Controller 

LAST REVISION DATE: 9.21.23

 

PURPOSE OF POSITION: 

The part-time Accounts Payable Specialist will be responsible for the validation, processing and filing of invoices.   The part-time Accounts Payable Specialist will ensure that all invoices are accurate and approved by the authorizing employee prior to making payment.  Once proper verifications and authorizations are received, the specialist is responsible for submitting payments in a timely fashion.  The specialist is also responsible for collecting and maintaining files for all invoices, payments, and tax information for vendors.

ESSENTIAL JOB FUNCTIONS AND RESPONSIBILITIES

  • Collect, organize and record information received from vendors and farms into the accounting system.
  • Match invoices to purchase orders and packing slips – ensuring appropriate approval and timely payment.
  • Communicate with vendors and coworkers about questions regarding invoices, deliveries, and statements.
  • Perform general clerical duties that include organizing and filing of invoices, payments, and tax information.
  • Reconcile vendor invoices and statements. 
  • Provide supporting documentation for audits.
  • Demeanor is expected to be always positive and professional while being helpful, positive, friendly and respectful to team members and management personnel. 
  • Be at work on scheduled days as attendance is critical to the success of this position. 
  • All other duties/projects as assigned and/or requested by supervisor.

SUPERVISORY RESPONSIBILITIES

  • No direct supervisory responsibilities for this position.

 

WORK ENVIRONMENT

  • This position is performed indoors.
  • This job operates in an office that is climate controlled and includes hazards typical to that environment 
  • This role routinely uses standard office equipment such as computers, phones, photocopiers, filing cabinets and fax machines.

 

PHYSICALITY REQUIREMENTS

  • The physical demands described here are representative of those that must be met by an employee to successfully perform the essential functions of the job.
  • Required to stand; walk; sit; use hands to finger, handle, or feel objects, tools, or controls; reach with hands and arms; climb stairs; balance; stoop, kneel, crouch or crawl; talk or hear.  
  • Ability to frequently lift or move up to 10 pounds and occasionally lift or move up to 50 pounds.    
  • The employee must have the ability to sit for long periods of time and to maintain focus on projects such as computer screens or detailed paperwork.

 

POSITION TYPE/EXPECTED HOURS OF WORK

  • This is a part time position with the expected days and hours of operation including day-shift Monday-Friday 15-20 hours per week.
  • Position would work out of the office or remotely during agreed upon part-time schedule.
  • Additional availability in hours pending staffing challenges and/or workload 

 

TRAVEL

  • No travel is expected for this position

 

EDUCATION, EXPERIENCE and OTHER QUALIFICATIONS 

  • 2-year degree in Accounting or related field preferred
  • General accounting knowledge of accounting standards/practices 
  • Familiarity with ten-key, excel, word, and Enterprise Resource Planning (ERP) accounting systems preferred
  • Bilingual is not required
