The Program Coordinator is responsible for providing clerical, administrative, analytical support and assistance to the administrative team consisting of director, manager and/or physicians. He/she performs operational analysis to determine the administrative needs of the department. This positon will serve as a knowledgeable point of contact for incoming communications in providing world class customer service at all times. The position requires day-to-day team interaction with, liaison between, and coordination of a wide range of internal and external constituencies involved in program activities. The Program Coordinator will organize data analysis for the program using data from the organization. The coordinator will be responsible for completing reports daily, weekly, monthly and/or annually to showcase the growth and benefits of the program across the organization. This will include team data reports and productivity. It is expected that the coordinator will be dedicated to the mission of our work and will take independent initiative to ensure all work is completed on time.

The Program Coordinator will organize data analysis for the program using data from the organization. The coordinator will be responsible for completing reports daily, weekly, monthly and/or annually to showcase the growth and benefits of the program across the organization. Reporting to the Transfusion-Free Services (TFS) Program Director the Program Coordinator will be perform daily administrative, operational, and logistical activities in support of TFS Program and administrative support to the Program Director. The program coordinator will perform a variety of tasks to support the TFS Program, assist in daily office needs, data entry, manage general administrative activities, act as a liaison between the TFS Program and referring physicians, and participate in activities that market the Keck USC TFS Program to referring physicians and outside hospitals (OSH). This position will be expected to respond promptly, efficiently and professionally to patients and staff member via email and phone.

Essential Duties:

  • Perform daily administrative, operational, and logistical activities in support of TFS Program.
  • Ensure implementation of program policies and practices
  • Manage office email account; respond to patient inquires timely.
  • Accurately enter information into application (data entry).
  • Quality control of data entry; verify data and correct data as necessary.
  • Keep updated records and create reports or proposals as needed for the TFS program.
  • Prepare paperwork and order materials to support program initiatives and office operations.
  • Schedule and organize meetings/events and maintain agenda.
  • Assist patients with forms when needed, including reviewing forms to ensure completion and accuracy.
  • Verify insurance coverage and collaborate with appropriate parties if patient needs financial assistance.
  • Help build positive relations with internal and external customers; optimize patient experience.
  • Ensure that notification is given about patients' transfusion-free status prior to Pre-Op clinic visit and surgery date.
  • Assists Program Director with implementation of plans and goals for transfusion-free/blood management services program that support the overall hospital objective and mission.
  • Orient volunteer staff; ensure they are familiar with office policy and procedures, including training as needed (basic tasks).
  • Support growth and program development.
  • Maintain budget and track expenditures/transactions as assigned.
  • Performs other duties as assigned.

Required Qualifications:

  • Req High school or equivalent
  • Req 2 years Clerical and administrative support experience
  • Req 1 year Experience in customer/patient relations or navigation in healthcare setting
  • Req Demonstrated experience in coordinating office and administrative activities
  • Req Competence and experience in use of computer programs such as Microsoft Office, Outlook, Excel, Word, PowerPoint, Adobe and other general computer programs experience required.
  • Req Excellent oral and written communication skills.
  • Req Strong customer service skills.
  • Req Problem solving skills and ability to create and implement solutions to support the program objectives.
  • Req Knowledge and experience using medical terminology.
  • Req General knowledge of acute care hospital and ambulatory care operations.
  • Req Knowledge of program coordination and development procedures.

Preferred Qualifications:

  • Pref Bachelor's degree in Healthcare related field
  • Pref Some experience as program or care coordinator in healthcare setting
  • Pref Highly organized with a strong ability to manage different priorities.
  • Pref Knowledge of clinical and cultural principles of transfusion-free medicine and surgery and patient blood management.
  • Pref Ability to speak, read and write in Spanish proficiently.

Required Licenses/Certifications:

  • Req Fire Life Safety Training (LA City) If no card upon hire, one must be obtained within 30 days of hire and maintained by renewal before expiration date. (Required within LA City only)
  • Req Basic Life Support (BLS) Healthcare Provider from American Heart Association

The annual base salary range for this position is $52,000.00 - $82,560.00.
