Description

Job Title: Accounts Payable Specialist
Salary: $20+ per hour depending on experience
Employment Type: Full Time
Work Schedule: Mon-Fri 8:30 AM- 5:00 PM
 
Summary:
The Accounts Payable Specialist is responsible for managing and processing all company payables, supporting some receivables, and performing related financial and administrative tasks. This role ensures accuracy and compliance in payroll, accounts payable, reconciliations, tax filings, and reporting. Key Responsibilities:

  • Process weekly and biweekly payroll, verifying hours, adjustments, and employee records.
  • Maintain employee timekeeping systems, leave records, and time clock setup or repairs.
  • Manage accounts payable, including invoice processing, weekly payments, and purchase order reconciliation.
  • Handle banking activities, including daily deposits and bank statement reconciliations.
  • Track and record business expenditures, petty cash, and expense reports.
  • Maintain open and closed purchase order files, packing slips, and inventory records.
  • Review and reconcile sales order tax calculations, maintain sales tax charts, and file returns.
  • Perform monthly, quarterly, and year-end reporting, including journal entries and trial balances.
  • Prepare and reconcile balance sheets, general ledger entries, and operating accounts.
  • Support the preparation of 1099 reports and other compliance documentation.
  • Act as backup for Accounts Receivable and support other departments as needed.
Qualifications:
  • Education: Associate's degree in Accounting, Finance, or related field; or equivalent combination of education and experience.
  • Experience: 1–2 years of accounting or accounts payable experience preferred.
  • Technical Skills: SAGE software is a MUST! Proficiency in Microsoft Office; familiarity with accounting software.
  • Other Requirements: Valid driver's license preferred.

  • Effective written and verbal communication skills.
  • Ability to work independently and collaboratively across teams.
  • Problem-solving skills with ability to handle multiple priorities.
Physical Demands & Work Environment:
  • Ability to sit, stand, and walk for extended periods; occasional lifting of up to 20 pounds.
  • Requires close vision, color vision, depth perception, and focus adjustment.
  • Office environment; occasional exposure to moderate to loud noise.
