What's a typical day as an Administrative Assistant I?

You'll be:

  • Coordinating and supporting departmental events such as Graduation Dinners, Research Day, Lunch & Learns, Guest Dinners, and Class Photo logistics

  • Managing student onboarding processes, including kit distribution and orientation support

  • Supporting faculty onboarding with faculty packets and review coordination

  • Assisting with academic functions such as mock boards, course scheduling, registrar-related tasks, and SLC scheduling

  • Maintaining departmental calendars, room requests, and meeting coordination

  • Tracking and approving faculty time-off requests

  • Supporting accreditation and compliance initiatives, including CODA documentation

  • Facilitating resident applicant interviews and coordinating travel and hotel accommodations

  • Managing procurement and inventory through university systems, including office supplies, research materials, scrubs, and name plates

  • Preparing dashboards and departmental reports

  • Assisting faculty with Letters of Recommendation (LORs)

  • Providing general administrative and communication support as needed

This job might be an outstanding fit if you have:
  • Associate's or Bachelor's degree preferred (or equivalent administrative experience)

  • 1–2 years of administrative experience, preferably in academic, healthcare, or higher-education settings

  • Experience coordinating events, meetings, interviews, and travel logistics

  • Familiarity with student and faculty onboarding processes

  • Knowledge of accreditation, compliance, and documentation requirements

  • Proficiency in Microsoft Office and administrative systems

  • Strong organizational, communication, and time-management skills

  • Ability to handle confidential information with discretion and accuracy

  • Strong attention to detail and ability to manage multiple priorities
