Executive Assistant
Location: Charlotte, NC – Onsite
Pay Rate: $50/hour
Contract: Temporary to Hire

Kelly Services has partnered with a leading logistics company seeking an Executive Assistant to join their team. Our client has been in business for 20 years and is rapidly growing. The Executive Assistant will be responsible for supporting multiple personnel with their administrative responsibilities. Apply today for immediate consideration!

Responsibilities:

  • Arrange domestic and international travel, including flights, accommodations, and transportation.
  • Prepare detailed itineraries and manage travel-related logistics.
  • Maintain and manage executive calendars with utmost accuracy.
  • Schedule and coordinate meetings, appointments, and events.
  • Prepare, submit, and track expense reports.
  • Organize and schedule internal and external meetings.
  • Prepare agendas, take meeting minutes, and distribute them as required.
  • Coordinate with various departments and external parties for seamless meetings.
  • Create, review, and maintain documents, reports, and presentations.
  • Ensure all documents are filed and organized properly, both digitally and physically.
  • Manage office supplies and maintain inventory levels.
  • Coordinate with facility management on office maintenance and other needs.
  • Screen and prioritize emails, phone calls, and other communications.
  • Draft and send communications on behalf of executives.
  • Assist in planning and organizing company events and functions.
  • Maintain positive relationships with internal and external stakeholders.
  • Handle confidential information with trust and integrity.

Key Qualifications:
  • Bachelor's degree or equivalent work experience in a related field.
  • Bilingual in Spanish is highly desirable.
  • Proven experience as an Executive Assistant or in a similar role.
  • Excellent organizational and time-management skills.
  • Strong interpersonal and communication abilities.
  • Proficiency in Microsoft Office Suite, Concur, and calendar management tools.
  • Ability to handle sensitive information with confidentiality and discretion.
  • Strong attention to detail and problem-solving skills.
