Human Resources Support Specialist

Pay rate; $22.13
Temporary position with potential full time opportunity.

The Human Resources Support Specialist will represent the Human Resources department as a point of contact for general inquiries and is responsible for facilitating a positive experience through concierge services and HR solutions for staff, faculty, managers, clients, and visitors.
This position supports the university's research initiatives by serving as the primary contact for all academic position onboarding paperwork.
Essential Functions:

  1. Provide assistance to faculty and staff regarding non-educational benefits, troubleshooting customer experiences with HR forms, including Dependent Care Flexible Spending Accounts and Child Care Support while Traveling (21%).
  2. Serve as a customer contact in the HR service center, providing information on established HR policies, procedures, and programs. Greet and direct visitors, manage incoming calls, and handle HR email inquiries (16%).
  3. Post research positions and coordinate the completion of new hire paperwork for benefits-eligible research roles, including scheduling and organizing weekly orientation for newly hired faculty and appointed staff (10%).
  4. Communicate voluntary changes and corrections to the Records department in the Human Capital Management system, manage exit interviews, and assist with HR specialty projects (10%).
  5. Advise internal and external customers regarding incorrect departmental contacts (8%).
  6. Provide assistance to current, former, and prospective employees regarding university retirement plans (7%).
Contacts:
  • Department: Continuous communication with HR offices to seek information and resolve employee inquiries. Occasional contact with employment staff for administrative support.
  • University: Regular interaction with staff and faculty for troubleshooting issues.
  • External: Occasional contact with job applicants and external organizations regarding inquiries.
  • Students: Contact with international students waiting to be seen by the VISA department when necessary.
Qualifications:
  • Experience/Education: Bachelor's degree required, or High School diploma with five or more years of customer service experience in a high-volume setting.
  •  HR generalist experience or college coursework in Human Resources is helpful. Certification as a Notary Public or the ability to become certified is preferred.

  • Build effective partnerships with clients and foster cooperation within the HR Customer Service Center and other departments.
  • Communicate complex concepts in simple terms.
  • Exhibit excellent oral and written communication skills, with strong grammar for composing various written communications.
  • Cultivate partnerships with clients, especially within university research sponsoring schools.
  • Provide exceptional customer service, modeling the HR mission.
  • Exhibit strong problem resolution skills and manage difficult customer situations effectively.
  • Support the HR department by following policies and procedures and maintaining ethical values.
  • Use time effectively and manage multiple tasks with prioritization.
  • Communicate and work effectively with diverse constituents and employees at all levels.
  • Handle confidential and sensitive information with care and discretion.
  • Proficient in Microsoft Office applications (Word, Excel, PowerPoint, Access), Google Docs, and internet research, with experience in Google productivity tools.
