Summary of Position:

MedStar Union Memorial Hospital is seeking an organized and detail-oriented Office Coordinator to support the daily operations of the Critical Care Unit. In this role, you'll serve as a key administrative partner, helping to coordinate department activities, manage communications, support leadership, and ensure efficient office operations. This position is ideal for someone who thrives in a fast-paced environment, enjoys problem-solving, and takes pride in delivering exceptional customer service.

Primary Duties & Responsibilities:
  • Serve as the primary point of contact for the department by answering and routing calls, responding to inquiries, managing correspondence, and providing exceptional customer service to staff, patients, vendors, and visitors.
  • Coordinate calendars, meetings, conferences, events, and special projects, including scheduling, preparing materials, documenting meeting minutes, and ensuring timely follow-up on action items.
  • Manage day-to-day administrative operations, including maintaining records, databases, filing systems, departmental statistics, and confidential documentation.
  • Support departmental business functions by processing invoices, purchase orders, travel requests, payroll-related activities, budget reports, and other administrative transactions.
  • Monitor office supplies, equipment, work orders, and vendor relationships to ensure efficient operations and resolution of service-related issues.
  • Exercise sound judgment to identify, investigate, and resolve operational issues while supporting department goals, quality initiatives, and process improvement efforts.
Minimum Qualifications:
  • High School Diploma or GED required
  • Associate's degree, business coursework, or administrative/secretarial training preferred
  • 3+ years of administrative or secretarial experience required
  • Experience in a medical office, hospital, or ambulatory setting preferred
Knowledge, Skills & Abilities
  • Strong proficiency in Microsoft Office applications, including Word, Excel, and Access
  • Excellent verbal and written communication skills
  • Strong organizational, customer service, and time management abilities
  • Ability to prioritize multiple responsibilities while maintaining accuracy and confidentiality
  • Strong problem-solving skills and attention to detail

This position has a hiring range of

USD $23.65 - USD $42.03 /Hr.
