Job Description:
Under the leadership of the Payroll Supervisor, the Payroll Specialist ensures the timely and accurate processing of bi-weekly payroll functions, managing a wide range of tasks including employee inquiries, data entry, and compliance with laws and regulations. This role involves maintaining confidential payroll records, reconciling deductions, overseeing payments, and collaborating with HR to align payroll practices with company policies, all while delivering high-quality customer service in a fast-paced environment.
Duties and Responsibilities include, but are not limited to:
· Independently administer and oversee full-cycle payroll operations for California and multi-state employees, ensuring compliance with federal, state, and local laws and regulations.
· Interpret, apply, and advise on complex payroll compliance matters, including overtime calculations, meal and rest period premiums, final pay requirements, sick leave, and other California-specific mandates.
· Exercise independent judgment in resolving non-routine and complex payroll issues, including retroactive pay, off-cycle payments, tax discrepancies, wage claims, and garnishments.
· Develop, implement, and maintain payroll policies, procedures, and internal controls designed to ensure legal compliance, operational efficiency, and risk mitigation.
· Significantly contribute to payroll audits, system implementations, process redesigns, and continuous improvement initiatives.
· Exercise discretion and independent judgment on matters of significance, including accurate interpretation of California wage and hour laws, payroll tax regulations, and company payroll policies.
· Maintain strict confidentiality and discretion when handling sensitive employee and company financial information.
· Conduct regular audits of payroll data to identify errors or discrepancies.
Experience
4+ years of progressive payroll experience, including substantial responsibility for California payroll compliance preferred.
Proficiency in payroll software (such as Workday, UKG, ADP) and Microsoft Office
Advanced knowledge of California wage and hour laws, payroll tax regulations, and employment-related compliance requirements.
Demonstrated ability to exercise discretion and independent judgment on matters of significance.
Strong analytical, problem-solving, and consultative communication skills.
Education
High school diploma, G.E.D., or equivalent work experience in Finance, Business Administration, Human Resources, or a related field required.
Licensure/Certifications
CPP is a plus; Workday Payroll PRO Certification preferred.
