At NorthBay Heath the Manager of Rehabilitation Services is responsible for the strategic leadership, operational management and growth of ambulatory Physical Therapy, Occupational Therapy, and Speech-Language Pathology services. With accountability for the clinical and operational management of adult and pediatric rehabilitation services in the ambulatory setting. This role blends day-to-day operational excellence with forward-looking vision focused on program development, market growth, access expansion, quality outcomes and patient experience. These physical, occupational and speech therapy services are delivered in the ambulatory spaces. The Manager serves as a change leader-envisioning the future of ambulatory rehabilitation services, advancing clinical excellence and building high-performing interdisciplinary teams aligned with organizational strategy and community needs.  

PRIMARY JOB DUTIES / RESPONSIBILITIES

 

Clinical Excellence and Quality

  1. Ensure delivery of high-quality, evidence-based rehabilitation care across all disciplines.
  2. Champions a patient-centered approach focused on access, communication, outcomes and experience.
  3. Functions as a clinical resource to service line staff and provides interpretation of system policies and procedures, when necessary.
  4. Monitors patient care within the service line to ensure it is consistent with professional and regulatory standards and provides feedback to appropriate team members. 
  5. Serves as primary liaison between internal and external clients as they relate to Rehabilitation Services. This includes referring providers, hospitalists, inpatient physicians, inpatient nursing leaders and ambulatory practice leaders. 
  6. Assesses clinical competency of department staff and utilizes that assessment to develop clinical skills pertinent to the clinical specialty.

     

Operational and Financial Management

  1. Oversees and monitors department scheduling processes to ensure staffing needs meet the patient population demands and productivity standards of the department.
  2. Initiates, implements, sustains and continually evaluates ongoing departmental based performance improvement activities.
  3. Develop sustainable strategies for capacity management and positive fill rate.
  4. Continuously monitors service line financial performance and expense management.  Implements improvements as needed and in collaboration with Director.   
  5. Instill a culture of positive patient experience supported by therapists and administrative support teams. 
  6. Collaborates with Ergonomics in Safe Patient Handling Training across the corporation in adherence to regulatory requirements.
  7. Performs other duties as assigned.

Operational Management

  1. Develops and manages the annual personnel, expenses and capital budgets in collaboration with the Director. 
  2. Monitors department activity weekly and monthly against the budget and identifies, investigates, and reports all variances to the Director. 
  3. Assures appropriate utilization of all available resources to provide quality, cost-effective patient care.
  4. Accountable for departmental staffing plans. 
  5. Demonstrates effective, positive problem solving and conflict resolution skills.
  6. Manages change in a creative and positive manner, facilitating the same in, therapists and staff.
  7. Ensures accurate charge entry by therapists, as well as timely charge entry and documentation completion. 
  8. Establishes and maintains policies, standards and programs for the provision of care in a cost-effective and quality manner.
  9. Works collaboratively with the Director to ensure that the department activities are in accordance with regulatory and accreditation requirements as appropriate.

Human Resources Development

  1. Interviews prospective employees, hires appropriate individuals, develops and monitors the orientation process for all new employees. 
  2. Evaluates and documents individual employee performance through the performance appraisal process.  Provides ongoing mentorship, coaching and counseling, as appropriate. 
  3. Establishes and maintains competency standards for all therapists, including appropriate competency validation tools.
  4. Demonstrates effective interpersonal skills by communicating, cooperating, coaching, counseling and mentoring.
  5. Facilitates professional growth and development of staff through identification of needs, provision of educational programs and evaluation of efforts. Works through the progressive disciplinary process with staff and participates in the process with the Director as appropriate. 
  6. Coordinates programs with the use of internal and external resources that will facilitate and promote professional growth opportunities for the staff.
  7. Assures that staff achieve and maintain identified competencies related to their practice through such activities as orientation programs, evaluation process, certification programs, in-services, training, etc.

Strategic Planning

  1. Participates in strategic planning relative to areas of responsibility.
  2. Obtains staff input into areas considered for strategic planning and shares information with Director.
  3. In collaboration with the Director, develops operating plan for department that supports the organizational strategic plan.
  4. Communicates organizational and departmental strategic plan to staff.

 

Collaborative Relationships 

  1. Partners closely with physicians, care coordinators, nursing, ancillary services, marketing, IT and operations.
  2. Supports systemwide initiatives related to population health, care transitions and service line integration. 
  3. Participates in multi-disciplinary committees within the organization and the community that focus on patient care issues.
  4. Promotes and supports standardization within the organization for like services, including policies, procedures, practices, equipment and supplies.


Qualifications

  • Education:  Bachelor's Degree in Physical, Occupational or Speech Therapy required. Graduate of an APTA accredited Physical Therapy program, AOTA accredited Occupational Therapy Program or ASHA accredited Speech Therapy program strongly preferred. Masters Degree in Physical Therapy, Occupational Therapy or related health care field preferred.

  • Licensure: Current California Physical Therapy or Occupational Therapy license required. Current AHA or equivalent BLS certification. 

  • Experience:  A minimum of 5 years of clinical experience in Physical, Occupational or Speech Therapy required. Minimum of three years of demonstrated progressive management experience in a clinical setting with increasing scope of responsibility required. Knowledge of workmen's compensation process preferred.  Strong knowledge of regulatory and compliances processes required (Joint Commission, OSHA, Title 22). Must demonstrate and maintain current knowledge and skill in providing care for patients in the following age groups: Pediatric, Adolescent, Young Adult, Adult and Geriatric

  • Skills:   Excellent oral and written communication skills required.  Must possess teaching and leadership ability, as well as high professional standards.  Must be well organized, self-motivated, be able to set priorities, work independently and be an effective collaborator.  Word Processing experience required, including Microsoft Outlook, Excel, MS Word and PowerPoint.  Statistical/data management skills required. Cerner EHR or WebPT experience helpful.

  • Hours of Work: Management Exempt. Monday through Friday, variable according to business needs, primarily between the hours of 8:00am – 5:00pm.

  • Compensation: $187K - $197K annual fixed base salary range
