Job Skills / Requirements Reporting to the Director of Operations, this position is responsible for leading our vertical market program delivery and all aspects of Paladin's business within that portfolio. The Site Security Manager (SSM) will oversee a team, both within the office and in the field, whom they will empower to manage the site portfolios of client and security officers working within their vertical market. Key job functions include: Team Leadership & Employee Management/Care, Client Relations, Strategic Planning, Fiscal Prudence/Budgeting, Program Improvements/Standardization, Portfolio Management and Organizational Best Practices & Collaboration.

Job Duties and responsibilities: 

Team Leadership and Employee Management /Care 

  • Maintains adequate management support levels to maintain, reinforce and grow Paladin's culture and core ideologies. 
  • Ensures all new staff within the portfolio are suitable representatives of the organization and align with Paladin's brand expectations. 
  • Develops retention strategies and mitigates turnover (turn-over below 20% is expected). 
  • Maintains an engaged workforce. 
  • Actions employee engagement survey results and corrective actions. 
  • Facilitates strong succession planning at all levels within the portfolio and identifies top talent for promotional opportunities within the portfolio. 
  • Makes recommendations for, plans and organizes professional development days for staff within the portfolio. 
  • Ensures all staff within the portfolio have adequate training based on industry, and corporate and client standards. 
  • Provides motivational guidance and disciplinary discussions with all staff assigned within the portfolio as needed. 
  • Ensures all employee interactions conform to the applicable employment standards act to limit organizational liability and potential reputational harm. 
  • Performs evaluations of staff directly reporting to you on an as needed basis and in accordance with company policies. This review process should follow Paladin's competency-based review document.
  • Ensures supervisory team has conducted employee reviews for all employees within their portfolio following the same guidelines as above. 
  • Facilitates communication (both organizationally led and personally led) to foster a collaborative and inclusive work environment. This means passing on organizational communication and messaging to your team and encouraging an open and honest dialogue as a mainstay of our business 
Client Relations 
  •  Develops and maintains excellent relationships with the client, their managers and supervisors. 
  • Conducts regular and informal meetings with the client to ensure needs and goals are being met and fulfilled and our account management team performs their requisite duties.
  • Fosters long term personal relationships with clients. 
  • Ensures clients (and stakeholders of the clients) are very satisfied with the services provided.
  • Introduces new and varying services from those that are offered by the company to gain competitive advantages of being a holistic provider. 
  • Discusses long term and strategic plans of our clients and ensures Paladin is aligned with / ahead of direction changes in the program(s). 
  • Is seen as a fixer, problem solver, innovator with their clients ensuring they are an example to the marketplace.
Strategic Planning 
  • Sets annual objectives for the portfolio and ensures these objectives are tied to personal development plans of their staff. 
  • Prioritizes long term, strategic objectives as required. 
  • Ensure the use of technology in delivery of services is central to the strategic thought process. 
Fiscal Prudence/Budgeting 
  •  Actively oversees the management of site margins and profitability within the portfolio. 
  • Provides budgeting support to Divisional Business Lead, Executive Team as needed 
  • Maintains understanding of branch budget and works with Divisional Business Lead to meet budgetary objectives. 
  • Ensures the management of client accounts receivables and works with Paladin AR team as needed. 
  • Ensures monthly submission deadlines are met for themselves, and their teams (site expenses, personal expenses, visas) and items are properly coded.
Program Improvements/Standardization 
  • Develops, improves and constantly refreshes training programs that align with the requirements and expectations of our clients within the vertical market. Our training should be leading edge in the security market, without question and provide customized solutions for the portfolio the SSM is responsible for. 
  • An emphasis should be placed on innovating and improving the use of technology as part of our service offering. This should be a twofold approach focused on a) improving our day to day operations through the infusion of technology, and b) looking forward, trial and testing feasibility of new, leading edge innovations that may benefit our clients, reduce costs or improve service delivery. 
  • Standardized KPI should be created and implemented. The SSM is also responsible for the successful KPI scoring for the client to prove our service delivery is exceptional. 
  • The safety of our people is paramount, and therefore, the SSM is ultimately responsible for the ongoing implementation of our OHS program within their vertical market. The SSM will ensure Paladin's OHS program has been implemented and is being followed. More importantly the SSM should initiate a climate of safety amongst the people working within the portfolio. Of critical importance is our ongoing COR certification which must be maintained yearly, with the support of our SSMs, who are ultimately responsible for ensuring we pass our yearly audit. 
  • The SSM will implement an incident escalation process that will allow for ongoing and implement adequate site supervision and client support. The SSM is responsible for appropriate escalations to the rest of the leadership and executive team, as necessary. 
  • The SSM will consistently assess / reassess service offerings for clients, to ensure best practices are occurring and seek ways to improve this service delivery.

Education Requirements (Any)

Minimum 2 year experience in security
High School Diploma/GED
Post Secondary Education

Certification Requirements (Any)

Valid Class 5 Advanced License
Clean Drivers Abstract
Valid Security Licence

Additional Information / Benefits Portfolio Management 
  •  Ensure Paladin adheres all contractually specified obligations 
  • Creates a system to audit portfolio management on a consistent basis and implements a strategy for corrective action whenever necessary 
  • Works with support departments to ensure Compliance Codes are entered, maintained and used to manage training compliance(s) with the portfolio 
  • Ensures the site has an up to date and complete Site Orders both in hard copy on site and in digital copy on the network server.
  • Ensures that there are thorough Site Training and Employee Orientation programs in place and that all newly assigned staff demonstrates competence on site. 
  • Supports Human Resources to ensure sufficient resources are available to meet the company's obligations while ensuring the account management group is providing accurate and timely need representations of their needs 
  • Responds to communications from clients or staff in a timely manner. 
  • Works with Paladin's support departments to allow for seamless service delivery for our clients. 
  • Provides after-hours support, as needed, to portfolio management team in the event of an emergency 
  • Reports regularly to their Divisional Business Lead on matters of company or client interest or significant events. For critical incidents, ensure that a member of the executive team is also informed. 
Organizational Best Practices/Collaboration: 
  • Maintains excellent relationship with peers, leadership team members, executives and other members of the Paladin Family
  • Facilitates an open and collaborative work environment across vertical market teams / leaders • Has a deep and robust understanding of the Paladin Difference 
  • Seeks opportunities to learn from peers, support departments and corporate departments on a routine basis. 
Site Specific Duties and Responsibilities,
 
  • The SSM's primary responsibility is being the point of staff contact and working with the client. • The SSM will support the needs of the employees within the portfolio to ensure consistent quality of service. 
  • The SSM will be based on site at the Bow Tower but may be required to attend the branch office for work or meetings. Flexibility of schedule is required, as it may be needed that the SSM be present for training exercises and special events. 
  • Oversee and assist the Site Assistant Manager (SAM) 
  • Cover/Backfill for the SAM. 
  • On Site Care Coordinator 
  • Management and delivery of Site-Specific training that is obligated, to the client, by Paladin. 
  • Recruiting and interviewing potential hires for the site. 
  • Follow up on mandatory training, rewards and recognition. 
  • Ensure that the Schedule is accurate, up to date and generated at least 3 months in advance. 
  • Routinely review schedule, 8 weeks in advance, for irregularities and last-minute changes. 
  • Fill vacancies as required, ensuring to minimize overtime and missed coverage. 
  • Track and monitor vacation and LOA requests. Ensure that guards are using “Paid Vacation” time prior to using other leave options, i.e. unpaid vacation. 
  • Liaising with Paladin PRC to generate required Training Shifts as needed. 
  • Inputting of names for, Training Shifts, into the schedule. 
  • Working with Scheduling PRC to ensure Compliance Tracker is updated and accurate. 
  • Work closely with scheduling PRC. 
Other duties as assigned. 
Other/Conditions:

  • Supervise a team and assign work to be done and methods to be used. 
  • Plan and direct the work for a portfolio of an average of 35+ full-time employees. 
  • Responsible for oversight and performance management of all employees in the portfolio. 
  • Mentor and lead employees towards achievement of strategic goals.
