JOB PURPOSE

The HVAC Operations Lead is a senior operational leadership role responsible for ensuring that executive direction and operational strategy established by the General Manager are executed accurately, consistently, and without deviation across all projects, proposals, preventive maintenance programs, and operational initiatives.

Serving as a direct extension of the General Manager, this role provides structure, alignment, and execution discipline across internal teams, field operations, subcontractors, suppliers, and administrative functions. This is a salaried, exempt management position focused on execution leadership rather than technical HVAC work.

 

ESSENTIAL DUTIES AND RESPONSIBILITIES
  • Execute and reinforce executive and operational direction across all departments, ensuring alignment with leadership intent.
  • Translate leadership decisions into clear execution plans, timelines, and documented actions using ServiceTitan, formal email communication, and direct coordination with dispatch and field leadership.
  • Coordinate and prepare project proposals, preventive maintenance proposals, and permit applications to ensure accuracy, completeness, and compliance with executive intent and contractual requirements.
  • Ensure technicians, subcontractors, and suppliers fully understand project scope, sequencing, expectations, and timelines.
  • Monitor operational execution to proactively identify and resolve misalignment, delays, documentation gaps, or communication breakdowns.
  • Ensure field documentation in ServiceTitan is complete, accurate, timely, and properly closed.
  • Review, validate, and close subcontractor reports and related operational documentation.
  • Confirm that all operational actions are followed by appropriate reporting, verification, and closure.
  • Maintain closed communication loops between field personnel, dispatch, leadership, clients, and external stakeholders.
  • Coordinate execution across projects, major service repairs, and preventive maintenance initiatives, ensuring scheduling alignment and execution continuity.
  • Prepare concise operational summaries and status reports for executive review, client communication, and internal leadership alignment.
  • Identify execution risks and drive corrective action prior to impact on service delivery, compliance, or customer satisfaction.

SKILLS AND KNOWLEDGE

JOB REQUIREMENTS
  • Experience in operations coordination, facilities management, construction services, or service based organizations.
  • Prior experience working with dispatching teams, subcontractors, and permit processes is preferred.
  • Experience in high pressure environments.
  • Military or equivalent operational coordination experience is a plus but not required.
  • Such alternatives to the above requirements as the company may find appropriate and acceptable.
  • Possible travel required to off-site locations including overnight trips.

PHYSICAL DEMANDS

TERMS OF EMPLOYMENT

Salary and benefits shall be paid consistent with ABC salary and benefit policy. Length of the work year and hours of employment shall be those established by ABC Mechanical.

 

FLSA OVERTIME CATEGORY

Job is exempt from the overtime provisions of the Fair Labor Standards Act.

 

EVALUATION

Performance will be evaluated in accordance with ABC Mechanical's policy. Success in this role is measured by execution accuracy, documentation completeness, communication effectiveness, timeliness of delivery, closure of operational loops, and consistent alignment with executive and organizational standards.
