The Space Systems Group (SSG), part of SPA's Space and Intelligence Division, provides timely and objective assessments and recommendations integrating technical, operational, programmatic, policy and business analysis. We focus on our key clients in the Space community including the US Space Force's Space Systems Command (USSF/SSC), one of the three designated Field Commands under USSF. SPA has an immediate need for an Administrative Assistant/HR Analyst.


Responsibilities

The Space Sensing Directorate - Finance (SSC/SNF) mission is to provide superior financial management and decision support that enables successful delivery of Space Sensing programs for warfighting. SNF is responsible for all financial planning, programming, budgeting, execution, scheduling, and cost estimating for the Space Sensing Directorate with a budget of more than $25B.

 

The ideal candidate will support the SSC/SNF, Chief Financial Officer (CFO), a civilian NH-04, and his staff that includes the Deputy CFO, a military Major (O-4), the Budget Chief and the Cost Chief, both civilian NH-04s. You will also provide executive administrative and HR support to Space Force customers in El Segundo, CA. You will be in the premier space acquisition organization responsible for delivering space-based capabilities and effects to our warfighters and allied partners. 

 

Key duties asssociated with this position include but are not limited to the following:

  • Apply critical thinking and experience to develop solutions for our customer's most challenging issues.
  • Provide calendar support to the Chief Financial Office (CFO) and his Deputy CFO, a military Major (O-4).  Ancillary support will be provided to the civilian, NH-04 Budge Chief and Cost Chief.
  • Act as primary focal point for interface and coordination for all SNF processes.
  • Manage/oversee all SNF human resources and personnel actions.
  • Primary Point of Contact (POC) for interface and coordination with the Space Sensing Management Operations Division (SNO) on all SNF HR and personnel processes.
  • Manage all SNF HR taskers through the Enterprise Task Management Software Solution (ETMS2) system.
  • Plan and schedule meetings and events, including facilities, audio visual, other materials/documentation, security requirements, and record meeting minutes.
  • Organize logistical issues to support customer meetings and travel to include providing read-ahead materials and tracking the status of action items.
  • Support customers with official travel using the Defense Travel System (DTS) to include submitting travel authorizations and vouchers.
  • Create documents and serve as the SNF Records Custodian (RC).
  • Understand Department of Defense, Air Force, and Space Force organizations, processes, procedures, instructions, and guidance.
  • Support customer meetings, which include providing read-ahead materials, drafting meeting minutes, and tracking assigned action items.

 


Qualifications

Required Qualifications:

 

  • US Citizenship and an active DoD Secret clearance
  • Completion of an Associate degree in a related field
  • 10+ years of relevant experience providing administrative support to executive-level internal/external customers and senior leaders
  • Knowledgeable in DoD Adminsitrative and records management systems/processes
  • Expertise using MS Office applications (Word, Excel, PowerPoint) and DoD, Air Force, and/or Space Force training tools and systems to include DTS, SharePoint, and Teams
  • Ability to report to designated work location in El Segundo, up to full time, based on the needs of the customer

Preferred Qualifications:

 

  • Completion of a bachelor degree in a related field
  • 15+ years of relevant experience
