The successful candidate will be accountable for the management of the software asset lifecycle including acquisition, compliance, maintenance renewals, contract consolidations, cost control and decommissioning. They will need to work closely with other IT departments, internal business stakeholders and vendors as part of our global IT Procurement and Software Licensing team. The pay scale for this position is 60K-70K, based on qualifications, experience, and location. Your Role:

  • Ability to present business cases to senior management for approval
  • Manage requests from end users and vendors for software, approve or provide alternatives based on IT guidelines, and respond to inquiries about request status, changes, or cancellations
  • Work with the business to evaluate requests against existing products and determine the best fit solution
  • Contact vendors to schedule or expedite deliveries and to resolve shortages, missed/late deliveries, and other issues
  • Work with IT Management to ensure compliance with company procedures and best practices while maintaining compliance with vendor terms and conditions to reduce risk to the business and respond to external vendor audit requests and administer proactive software audit processes
  • Work productively in a team culture and with other team members remotely
  • Provide timely and meaningful inventory, deployment, usage and availability information to business managers
  • Engage in the software support and maintenance renewals process and software inventory reporting to support negotiations in partnership with Vendor Management
  • Document processes, identify process gaps, and engage in process improvement
  • Identify discrepancies in the software assets of the ITAM database through periodic quality assurance audits, and resolve or escalate them for investigation
  • Coordinate with global IT teams to deliver approved software to end users
  • Maintain knowledge of organizational and governmental rules affecting licensing and purchases, and provide information about these rules to organization staff members and to vendors
  • Other ITAM management responsibilities related to hardware and software
  • Timely completion of admin tasks without reminders
  • Other duties may be assigned

Qualifications:

Required:

  • 5 years' experience minimum within a customer facing IT operation or admin role
  • Ability to prioritize in a customer-focused fast paced and constantly changing environment
  • Work in a global team independently with minimal supervision
  • Be flexible in working hours, as this role interacts with internal and external stakeholders across the globe
  • Able to establish and maintain effective working relationships within the company and vendor community
  • Knowledge and experience with IT Software Asset Management processes and systems
  • Solid working knowledge of software licensing & license types, maintenance renewals, license key management, and compliance
  • Working knowledge of relevant software, hardware, and equipment for the typical end-user
  • Excellent administrative skills and record-keeping methods and procedures
  • Critical thinking and time management skills
  • Self-motivated with excellent communication skills in English; other languages (French and Spanish) are an asset
  • Advanced aptitude in Excel using tables, numeric formulas, and pivot functions
  • Use Microsoft Office 365, especially Teams, OneDrive, and SharePoint.

Preferred:

  • ITIL, ITAM, and/or SAM training or certification
  • Negotiation experience and solid knowledge of purchasing methods and procedures
  • Global support experience is a plus
  • Experience with engineering/scientific software is an advantage including CAD/BIM, Scientific, Engineering, and Analysis
  • Experience with Power BI is an advantage
