Main Function:

The Office Coordinator promotes effective communication, supports staff development, assists with workflow coordination, and helps ensure consistent administrative operations across both practice locations. This position leads by example, actively participating in daily patient-facing activities while fostering a collaborative, patient-centered work environment.

The Office Coordinator serves as a resource for administrative staff, helping to resolve routine issues, answer questions, reinforce established processes, and communicate staff concerns, opportunities, and operational needs to Practice Management. The position is expected to build positive working relationships with providers, nursing staff, and support staff while contributing to a culture of teamwork, accountability, and excellent customer service.

  • Demonstrates leadership and team-building skills through mentoring, coaching, and supporting administrative staff while leading by example.
  • Serves as an effective liaison between administrative staff and Practice Management, promoting clear communication, collaboration, and accountability. 
  • Demonstrates strong interpersonal and conflict-resolution skills, addressing concerns professionally and fostering a positive work environment. 
  • Ability to balance leadership responsibilities with a full patient-facing workload, effectively prioritizing competing demands in a fast-paced medical practice. 
  • Demonstrates strong organizational, time management, multitasking, and problem-solving skills.
  • Builds and maintains collaborative working relationships with providers, nursing staff, colleagues, and organizational departments.
  •  Maintains a strong customer service focus and commitment to delivering an exceptional patient experience.
  •  Demonstrates proficiency with electronic medical records, Microsoft Office applications, and medical office operations.
  •  Possesses a working knowledge of scheduling, insurance verification, referrals, and front-office workflows.

Qualifications:

  • Secretarial experience preferred.
  • Medical background is preferred.
  • Leadership experiences preferred.

Education and experience: 

  • High School Diploma or GED required
  • Associates Degree preferred.
  • Medical terminology required.
  • 2 to 3 years' experience as secretary/clerical medical office experience preferred.
  • 2 to 3 years' experience as Office Coordinator or Team Lead preferred.

 

Pay Range: $19.00 - $25.00

Starting Pay: Based on experience
