Summary of Job Duties: The Assistant University Registrar for Catalog and Scheduling (AUR) is primarily responsible for the GUS academic catalog of courses and schedule of classes in the Office of the University Registrar (OUR). This position is responsible for related configuration in the PeopleSoft Student Information System (GUS) as well as the development and implementation of policies, procedures and regular business processes. This position interacts heavily with academic departments in developing and maintaining the UAMS Schedule of Classes, as well as course and curriculum data updates. A key member of the registrar team, the AUR also provides functional support to other OUR staff through cross-training, back-up staffing and general office activities. The OUR is a department in Enrollment Services, a division of Academic Affairs.
Qualifications:
  • Bachelor's degree or​ Associates degree plus two (2) years experience in higher education administration required.

  • Intermediate proficiency with standard office computer programs (e.g., MS Office Suite).

Preferred Qualifications

  • Bachelor's degree in Education, Business, or related field, plus five (5) years of direct experience in higher education administration, including at least 3 years of experience with a student information system such as PeopleSoft, Banner, or Workday.


Additional Information:

Responsibilities:

  • Coordinates the creation of the UAMS Schedule of Classes, including direct scheduling and scheduling support for academic units.

  • Leads efforts to enhance the functionality of the schedule of classes business process, and leads efforts to improve the end-user system interface for scheduling functionality in GUS.

  • Audits the schedule of classes, and provides and directs necessary maintenance of the information configured by department users and OUR staff.

  • Notifies departments of inconsistencies and facilitates modifications to data irregularities.

  • Monitors the usability of existing audit reports and develops new reports when needed.

  • Provides quality control of user input, and delivers training for all data entry persons in the use of the class scheduling system.

  • Receives and processes all requests for new, changed and retired course and completes course configuration in GUS.

  • Ensures the appropriate course request forms have all required approvals for processing and notifies key players concerning curriculum changes.

  • Generates reports and data files related to the GUS course catalog, and coordinates audits and course reviews with academic units.

  • Answers phones, reviews and responds to emails, and meets with visitors to the OUR.

  • Provides backup staffing support to other team members through cross-training for other registrar responsibilities and functions.

  • Coordinates campus clearance communications with UAMS departments and students.

  • Provides additional support to other areas of the OUR based on seasonal workload and needs.

  • Provides functional support for the GUS course catalog and schedule of classes functions of GUS.

  • Participates in GUS sub-committees and governance as required; participates in systems testing and development.

  • Maintains student records according to industry best practices, and in compliance with applicable laws, UAMS Policy and accrediting agency standards.

  • Generates reports and queries as required by institutional, college and academic units, and responds to ad hoc requests for data/information, in coordination with the Institutional Research, Policy, and Accreditation department.

  • Performs other duties as assigned.
