Department Marketing Statement

The Office of Admissions is charged with assisting the campus in reaching its undergraduate admission and enrollment objectives in accordance with the University mission and campus enrollment goals. Department efforts are focused upon increasing the academic quality and diversity of the entering class while maintaining the required enrollment level.

Admissions seeks to implement the campus admission goals by providing a number of services and events.

Admissions promotes postsecondary education; encourages applications from historically underserved populations and schools; provides admission information to high school and community college counselors, teachers and administrators; provides admission advice to prospective freshman and transfer students; reviews and evaluates applications; develops recruitment strategies and events for admitted students; reviews coursework for transfer credit; and creates a presence on campus that is consistent with UCSB's mission and high academic standards.

These services are provided by three units within the department: Visitor Center, Outreach Services, and Application Services.

Brief Summary of Job Duties

Under the general supervision of the Assistant Director, Transfer Services, the Transfer Admissions Counselor provides outreach services to prospective transfer students at selected California community colleges, both locally and throughout California. He/she plans, develops, implements, coordinates, and evaluated programs and activities which will assist students in transferring to the University of California. The primary, but not exclusive, focus of outreach activities will be geared towards working with high-achieving students and students currently or previously enrolled in UC-sponsored programs such as PUENTE, MESA, UMOJA and Early Academic Outreach (EAO), and with historically underrepresented populations enrolled in targeted California community colleges. The Transfer Outreach Counselor also participates in efforts which come forth through collaborations developed by the Transfer Services unity with specific community colleges. This involves working with a host of community college administrators and counselors, as well as University of California personnel. The Transfer Outreach Counselor interacts closely with other staff in the Office of Admissions and Early Academic Outreach, to ensure that activities complement each other.

Required Qualifications

  • Bachelor's Degree in related area and / or equivalent experience and training 
  • Ability to travel: this position requires overnight travel throughout California, often for weeks at a time. 

Preferred Qualifications

  • 1-3 years of relevant work experience / training
  • Demonstrated experience in program development and implementation.
  • Ability to represent the University to K-12 school administrators, teachers, counselors and prospective UCSB students, their families and communities at the highest professional level.

Job Functions and Percentages of Time:

Community College Outreach - 40% 

Maintains long-term UC institutional liaisons with selected California community colleges and their students, through on-campus and off-campus programs. Serves as a general representative of the University of California to the public, providing information on such matters as University goals, policies, procedures, and philosophies. Responsibilities include:

Maintain a consistent visit schedule to selected community colleges campuses for the purpose of offering individual student appointments, group workshops, classroom and club meeting presentations.

Identify target student clubs, organizations, and community college faculty for outreach efforts.

Develop a database and method for advising and tracking students through their community college years.

Motivate students through information dissemination and activities to consider transferring to the University of California. Provide general UC advisement to ensure best academic preparation for success. Make appropriate referrals to UC colleagues at the campuses in which the student is interested.

Provide educational and advising opportunities through programming such as field trips to UC campuses, guest speakers, and specialized workshops. Collaborate and coordinate appropriate immediate outreach activities with Admissions staff and other UC officials.

Establish and maintain strong working relationships with community college administrators, counselors, program directors, and faculty. Serve as a general UC resources person and gather support for outreach initiatives.

Undertake special projects, such as summer programs, and logistics related to outreach as assigned.

Student Advisement and Counseling - 40% 

Represents the University of California to all prospective California community college transfer students, their families, their counselor and faculty, and other interested personnel. Responds to specific needs and inquiries. Disseminates information, advice, and referral. Specific responsibilities include:

Maintain individual contact with identified students on a regular basis to facilitate the transfer process. Advise prospective applicants regarding UC admission requirements and procedures. Track progress of each student, recommending appropriate action as needed.

Facilitate the admission process by providing accurate financial aid information, as well as information on campus housing and other relevant matters. Conduct preliminary evaluations of the admissions applications.

Use established articulation to advise students on meeting UC eligibility, UCSB general education requirements, and major preparation. Counsel students on major options and career choices. Verify appropriateness of course work proposed by the students.

Using knowledge of the articulation process, support the campus' efforts to increase articulation with selected community colleges by soliciting appropriate course outlines and other pertinent information.

Interface with each student's community college counselor, program director, faculty advisor, or other officials. Provide support to ensure a clear, understandable pathway for prospective UC transfer students.

Make referrals to community college offices, UC campuses, and other programs as appropriate.

Community College Collaboration - 10% 

Conduct in-service trainings and update meetings on the University of California for community college counselors and other interested parties as requested.

Trouble-shoot areas of concern with Deans of Counseling, EOPS Directors, Disabled Student Services Programs, Directors of Re-Entry Centers, and Transfer Center Directors.

Program Management and Analysis - 10%

Conducts basic administrative functions which support outreach activities and projects. Duties may include tasks such as:

Schedule and confirm regular visits to assigned community colleges. Establish outreach calendar and set necessary meetings. Handle correspondence, email, and telephone inquiries, travel expenses, and budget matters.

Communicate activities to the Transfer Services unit, as well as Admissions staff members. Provide monthly and annual reports, as well as program evaluations and documentation.

Establish and implement outreach activities at the assigned colleges, in concert with overall goals and objectives of the Transfer Services unit. Assist with other campus-based projects taking place at the colleges.

Maintain on-going contact with supervisor and other Admissions staff members.

Evaluate projects and activities, and make recommendations for improvement. Contribute to long-term planning efforts.
