The Assistant Director serves to support the key operations of the Office of the Vice President for Facilities & Economic Development at UT Dallas (VPFED). This position provides support for all budgeting, accounting, financial reporting and revenue enhancement efforts within VPFED. This position will also maintain responsibility for purchasing, inventory and digital/physical records maintenance for contracts and real estate records. In addition, this position will serve as a VPFED liaison for human resources and staff training and will play a key role in the management, coordination and execution of VPFED events.

Minimum Education and Experience

Bachelor's degree in related field and three plus years relevant professional experience; or any equivalent combination of education and experience.

Preferred Education and Experience

  • At least 3 years experience providing direct supervision to student or staff employees
  • At least 3 years experience of lead event planning and coordination experience
  • PeopleSoft experience


Essential Duties and Responsibilities

  • Assist the Director of Administration & Operations with PeopleSoft financials; monthly balance and expense reports, account reconciliation, check requests, payment of invoices, budget transfers, journals, billing/invoicing.

  • Provide support in timely and accurate reporting of relevant financial and accounting information for department-specific accounts and projects. Track expenditures and inter-departmental transfers. Process requisitions, encumbrances, and renewals for purchase orders.

  • Ensures proper inventory and record-keeping related to department collateral, real-estate/property records, and maintenance of shared drive digital records ensuring compliance with applicable laws, procedures, and practices as dictated by the University and UT System.

  • Serves as human resources liaison and assists with onboarding, staff training and termination processes for VPFED staff. Able to handle HR paperwork processing including ePUR's, ePAR's Postings, Hiring Proposals, and other related HR procedures.

  • Maintains planning oversight and takes lead for the Annual Scholarship Golf Tournament and other assigned VPFED events- ensuring the proper coordination and execution of events as guided by the Director of Administration & Operations.

  • Responsible for the coordination of projects. Oversees all aspects of projects. Estimates the cost of completing the project. Manages ongoing costs and budget of the project. Develops the list of equipment and supplies for project.

  • Takes lead with managing student employees.

  • Other duties as assigned.




Additional Information

Ideal candidate should possess superior organization and communication skills, along with the ability to effectively multitask on a daily basis.

While this position will report directly to the Director of Administration & Operations, the candidate must be able to provide seamless support to the Vice President for Facilities & Economic Development as requested.

A hybrid remote work schedule may be available for this position and will be discussed upon completion of a probationary period.
