Position Summary  

The Catering Coordinator plans, arranges, and coordinates a wide variety of support services for catering events, including complex single-day conferences, multi-day conferences, seminars, and workshops. This involves intricate food and beverages planning as well as coordinating various events details. This position works independently with minimal supervision and reports to the Food Service Manager.

Pay, Benefits & Work Schedule  

Position Salary Range: $37,872/year - $50,076/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

Bellevue College (BC) Food Services serves the college main campus by offering a full service cafeteria, three coffee shops and a Pizza Cafe (Housing) that serve hot food, light snacks, pastries, espresso, tea and beverages.

Essential Functions  

Catering Food & Beverage Scheduling

  • Schedule food & beverage services for meeting rooms & events.
  • Develop and provide cost estimates to clients.
  • Correspond with and arrange/schedule food & beverage services for clients.
  • Prepare, send and monitor food & beverage contracts to clients. 
  • Prepare, process and reconcile food & beverage billing after events.
  • Create and maintain detailed banquet event orders and information.
  • Oversee and monitor compliance with applicable laws, regulations, Bellevue College (BC) food policies. 

Banquet Event Orders

  • Completes & distributes detailed food & beverage orders to production staff. Includes specific amounts and items to be prepared and timeline. 
  • Assist with the set-up of catering (e.g., coffee, tea, pastries, fruit and vegetable platters) as needed.
  • Prepare food & beverage set up schematics to assist team members in setting up events.
  • Ensure that the correct menu items are prepared before events. 
  • Review food & beverage consumption after the conclusion of an event.

Event Support

  • Provide access to locations for an internal and external clients as needed.
  • Work at events and serve BC Catering Office point of contact for clients.
  • Provide event service which may include setup and tear down of food service equipment.

Marketing

  • Market products by developing and implementing marketing and advertising campaigns.
  • Design posters and menus to promote catering service.
  • Maintain promotional materials inventory.
  • Plan meetings related to marketing activities
  • Maintain databases and prepare reports for marketing initiatives.
  • Perform other duties as assigned.
Minimum Qualifications  
  • High School diploma or equivalent experience/ education.
  • At least six (6) months' experience managing, scheduling and coordinating events.
  • Must have valid Washington driver's license and King County Food Handler's Permit within 14 days of hire. 
  • Demonstrated ability to prepare contracts, event documents, event marketing materials, and billing while maintaining organized records.
  • Demonstrated ability to work independently and effectively collaborate and communicate with team members.
  • Demonstrated ability to work on several projects simultaneously and follow up on projects.
  • Effective written, verbal, interpersonal, customer service and communication skills.
  • Proficient in Microsoft Office products (Word, Excel, Outlook, PowerPoint, Teams) and Adobe.
  • Demonstrated experience working with diverse colleagues and/or students in a collaborative and inclusive environment.
Preferred Qualifications  
  • Bachelor's degree or certificate in Marketing, Hospitality, Culinary Arts, or other related area. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • At least six (6) months' experience with catering, food preparation or cooking.
  • Knowledge of events management tracking systems.
