Position Summary  

The Administrative Assistant plays an integral role in day-to-day administrative routine duties for the Social Science Division, providing administrative support to the Dean and Division Operations Director (DOD) within the division of Social Science. This position will support planning, organizing, implementing, coordinating, and controlling administrative services. The position is also responsible for engaging in event planning, and meeting setup and implementation.

The position involves a wide scope of duties and responsibilities in the coordination of programs in the division. The role requires attention to detail, punctuality, reliability, dependability, flexibility, and collaboration.

The ideal candidate will have excellent organizational skills, strong attention to detail, and a commitment to promoting diversity, equity, and inclusion (DEI). This position aligns with and contributes to the organization's mission and goals by providing administrative support in creating an environment that supports student success.
 

Pay, Benefits & Work Schedule  

Pay rate: $20.98/hour - $27.95/hour

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Typically new hire range for this role is $21/hour - $26/hour commensurate with experience and skills, based on Bellevue College hourly salary schedule. The successful candidate is expected to work 19 hours per week. This position requires the employee to work in person at least two days per week. This arrangement supports effective collaboration and team engagement, contributing to a productive and cohesive work environment. This position typically assigned as needed on a quarterly basis, with no expectation of continued employment beyond the current appointment.

The temporary hourly employment is limited to the earlier of 1,050 hours or 12 consecutive months beginning from the original date of hire. Per WAC 357-04-045, following 1,050 hours or 12 consecutive months, an individual is not eligible for re-employment at Bellevue College in another temporary part-time hourly position. Temporary hourly employees who work more than three hundred fifty (350) hours in a twelve consecutive month period may be subject to provisions of one the collective bargaining agreements covering Classified employees at Bellevue College.  

This position is expected to NOT be eligible for benefits.

About the Department  

The Social Sciences occupy a position between the Natural Sciences and the Humanities, with considerable overlap in both fields. Indeed, some of Bellevue College¿s Social Science courses earn credit in the Natural Sciences, while others receive credit in the Humanities.   Social Science has a multiplicity of disciplines including Anthropology, Business Administration, Criminal Justice, Cultural and Ethnic Studies, Economics, Geography, History, International Studies, Political Science, Psychology, and Sociology.

Essential Functions  
  • Coordinating, organizing, and/or directing the operation of a program or major program activity.
  • Answering general advising questions and assisting students in scheduling appointments for Academic advisors; Referring students to respective program advisors and/or helping them navigate college services to find appropriate resources.
  • Providing program, division, and college information including course offerings, schedules, prerequisites, and testing policies; Promoting the program on campus with outside organizations.
  • Identifying and resolving issues by providing options, fulfilling services, and/or exercising knowledge of college policies and procedures to assist others and/or resolve complaints or conflicts; refer unresolved issues to the Dean, Assistant Dean, and the Division Operations Director as appropriate.
  • Preparing and distributing meeting agendas; formatting transcription, recording minutes, and composing, editing, and typing correspondence.
  • Organizing program-related meetings and events following campus procedures, coordinating logistics for division meetings, retreats, and special events, serving as the main point of contact for questions and concerns, collaborating with team members and stakeholders to ensure effective management and execution, and assisting in the planning and execution of special events to enhance division goals and objectives.
  • Establishing and maintaining accurate electronic and hard copy files, including appropriate archival filing for syllabi, tenure, and promotion documents, and equipment inventory.
  • Reviewing and revising electronic documents for accuracy prior to publishing.  This includes, but is not limited to quarterly syllabi, program activity announcements, advertising, web posters, and/or newsletters (if applicable), official communications from the Dean, etc.
  • Designing, conducting, and responding to surveys and studies; composing narrative portions of documents such as brochures and policy statements.
  • Assisting Dean with reports and records, presentations, and correspondence related to projects, highlighting DEI perspectives.
  • Assisting faculty with teaching and administration of programs, facilitating effective communication and resource access.
  • Collaborating with faculty to create, develop, and compile promotional materials, including flyers, posters, brochures, and other marketing materials using MS Word, Publisher, and PowerPoint.
  • Coordinating space management, including renovation and/or remodeling for administrative, laboratory, and classroom areas and classroom reservation.
  • Post class cancellation notices as needed.
  • Perform other related duties as assigned.
     
Minimum Qualifications  
  • High School Graduation or equivalent in a relevant field. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis AND three years of progressively responsible experience in office/clerical, secretarial, or general administrative work.
  • Effective written, verbal, and interpersonal communication skills that ensure direct and meaningful messaging with senior management, faculty, students, and other target audiences.
  • Proficient with Microsoft Office 365, Outlook, SharePoint, Word, Excel, MS. Teams, and PowerPoint.
  • Demonstrated experience using Adobe Sign for creating, managing, and tracking electronic signatures on official documents.
  • Strong diplomatic and interpersonal skills, with the ability to establish and maintain cooperative relations with diverse individuals and groups and foster a welcoming and inclusive environment.
  • Demonstrated ability to maintain cooperative working relationships and preserve confidentiality.
  • Demonstrated effective organizational, time-management, and administrative support skills.
  • Demonstrated effective listening and problem-solving skills, a proactive approach to overcoming challenges, and the ability to be a self-starter.
  • Flexible and adaptable, with the capacity to work independently and collaboratively.  
     
Preferred Qualifications  
  • Associate's degree in Social Sciences, Humanities, Marketing, Communication, or Business Administration from an accredited institution. Formal education will substitute year-for-year for experience.
  • Demonstrated experience using Qualtrics for designing, distributing, and analyzing surveys.
  • Demonstrated ability to perform complex tasks utilizing SharePoint.
  • Experience authoring/publishing newsletters.
  • Demonstrated ability to work with diverse colleagues and students in a collaborative and inclusive environment.
  • Familiarity with learning management systems and educational technology platforms that support inclusive and accessible learning experiences.
  • Familiarity with educational enterprise resource planning database and tracking systems.
  • Experience in event planning and coordination, with a focus on creating inclusive and welcoming environments.
  • A willingness to learn and a good service ethic.
