Position Summary
The Program Coordinator for Veterans Services plays a vital role in ensuring that military-affiliated students receive timely, accurate, and supportive guidance as they begin and navigate their educational journey. By coordinating student intake, managing essential documents and data, and providing responsive front-line assistance, this position removes administrative barriers that can hinder student progress. This work directly supports Bellevue College's mission to ¿innovate boldly, remove barriers, and equip students with the skills, knowledge, and resilience to thrive in an evolving world¿ by fostering an accessible, student-centered entry experience. Through compassionate service, clear communication, and effective coordination of program processes, the Program Coordinator advances the college's commitment to lifelong transformation and social and economic progress. This is a temporary, grant-funded position with a tentative end date of 6/30/2027. Continuation of the position is contingent upon the availability of funding.
Pay, Benefits & Work SchedulePosition Salary Range: $43,812/year - $58,368/year
The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.
We offer comprehensive compensation package with salary and benefits as the main components. Competitive salary is within the Range stated above, and commensurate with qualifications and experience. The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the DepartmentThe Veterans Resource Center (VRC) is a one-stop resource hub for Veteran students at Bellevue College. In partnership with on-campus and community agencies, the VRC supports students with financial, social and academic resources to ensure students' academic success. The VRC is part of the Student Support Unit at Bellevue College, which includes Multicultural Services, Disability Resource Center, Advising, Counseling, TRiO, Early Alert and the Benefits Hub.
Essential FunctionsCustomer Services & Student Support
- Serve as the first point of contact for military-affiliated students and campus partners, providing timely, accurate, and empathetic support.
- Respond to inquiries by email, phone, and in person; triage issues; and route complex cases to the Director when needed.
- Provide clear guidance on college processes, including admissions next steps, registration basics, student holds, and referrals to advising or financial aid.
- Track cases by logging interactions, setting reminders, and ensuring follow-up until needs are resolved or appropriately escalated.
- Maintain service quality by using established templates and knowledge-base resources, updating FAQs, and identifying recurring issues to recommend process improvements.
New Student Intake Assistance for Veterans Services
- Coordinate a smooth, barrier¿free intake experience with the Veterans Resource Center to support student entry and persistence. Guide students through required onboarding steps and confirm completion of readiness checkpoints. Verify identity and required college records and confirm program or plan intent when applicable. Provide warm hand¿offs by scheduling or routing students to advising, placement/testing, disability resources, or financial aid as needed. Support orientation activities by assisting with information sessions, communications, and reminders for upcoming milestones.Coordinate a smooth, barrier-free intake experience with the Veterans Resource Center to support student entry and persistence.

- Verify identity and required college records and confirm program or plan intent when applicable.
- Provide warm hand-offs by scheduling or routing students to advising, placement/testing, disability resources, or financial aid as needed.
- Support orientation activities by assisting with information sessions, communications, and reminders for upcoming milestones.
Form Tracking
- Ensure all required forms are received, accurate, and processed on time.
- Track submission of new military¿affiliated student intake forms, review them for completeness¿including identity details, service affiliation, and benefit intent¿and follow up with students for missing information.
- Update tracking sheets and student records to confirm intake readiness.
- Receive and log quarterly VA Benefit Request Forms in which students request enrollment certification for VA education benefits; verify required fields, enrollment details, and program information before escalating to the Director for certification.
- Flag discrepancies, such as incorrect courses or unapproved modalities, and coordinate corrections with students or advisors.
- Process laptop and calculator loaner requests by logging submissions, verifying eligibility, confirming equipment availability, and maintaining accurate request and inventory records; coordinate pick-up and return logistics and follow up on overdue loans.
- Log program change requests submitted by military-affiliated students, verify student information, route requests to Enrollment, monitor status through completion, and update internal records to ensure alignment with the plan of study used for VA compliance review.
Document Management
- Maintain secure, organized, and accessible student records in accordance with college policies.
- Name and file documents using standardized conventions and ensure proper version control.
- Reconcile document records with student information systems and correct any mismatches to uphold data integrity.
- Prepare document lists and samples for audits and address any findings through corrective updates.
Appointment Scheduling & Calendar Management
- Optimize access to Veterans Services staff by coordinating calendars and student bookings.
- Manage staff calendars to balance student appointments with team commitments.
- Maintain online scheduling tools and set appointment types, durations, and locations.
- Send confirmations, reminders, and preparation materials, and manage reschedules and no¿shows.
- Reserve rooms and technology resources and ensure all accessibility needs are met.
VA Course Review
- Support compliance by performing preliminary checks to ensure students' planned courses align with degree or program requirements for VA funding, with final determinations escalated to the Director or designated staff.
- Compare student schedules against declared program plans and flag any courses that may not be applicable.
- Note findings and required follow-ups and prepare documentation packets for Director review and approval.
- Perform other related duties as assigned to support the effective operation of Veterans Services.
- Associate degree in business, communications, or a related field or one (1) year of equivalent experience providing customer/student service in an office environment with document or data management responsibilities.
