Position Summary  

The Program Specialist works under the general direction of and reports to the Division Operations Director. This is a temporary project position expected to end on 06/30/2026. The position may become permanent if funding becomes available.

This position collaborates closely with division staff, faculty, Program Chairs, the Assistant Dean, and the Dean to coordinate program services. This role involves interpreting and applying program-specific policies, assessing program needs, and developing effective strategies to carry out program activities.
This role is vital in the day-to-day operations of programs within the division, serving as support and resource. The position also plays a key role in promoting divisional programs through marketing and promotional activities to increase awareness and interest.
This position involves a wide scope of duties and responsibilities in the coordination of programs in the division. This position requires project management, enrollment management, and public information dissemination for students, faculty, staff, and community members. The role involves maintaining up-to-date content on the division's website, covering topics such as admission, registration, and college policies and procedures along with materials to spark student and community interest. The position is expected to provide exceptional customer service in assisting students, faculty, and the public while maintaining appropriate confidentiality. 
The role requires a high level of attention to detail, an ability to work independently with minimal supervision, the ability to work collaboratively with others in an office setting, punctuality, flexibility, discretion, and dependability. This position aligns with and contributes to the organization's mission and goals by providing administrative support in creating an environment that supports effective teaching and thus student success.
 

Pay, Benefits & Work Schedule  

Position Salary Range: $45,900/year - $61,296/year

The salary information shown above is a general guideline only. The salary will be determined based on candidate's qualifications and related experience, as well as market and business considerations. Individuals newly hired to Classified position are placed in a salary range based on the WPEA Collective Bargaining Agreement.

The employee is scheduled to work 40 hours per workweek. This is a Classified, overtime eligible position and represented by the Washington Public Employee Association of Higher Education (WPEA-HE).

About the Department  

The Social Sciences occupy a position between the Natural Sciences and the Humanities, with considerable overlap in both fields. Indeed, some of Bellevue College¿s Social Science courses earn credit in the Natural Sciences, while others receive credit in the Humanities.   Social Science has a multiplicity of disciplines including Anthropology, Business Administration, Criminal Justice, Cultural and Ethnic Studies, Economics, Geography, History, International Studies, Political Science, Psychology, and Sociology.

Essential Functions  

Provide Customer Service and Support Student Success

  • Greets and guides visitors at reception, ensuring a professional and welcoming experience.
  • Serves as the primary contact for all customers, managing initial intake and efficiently triaging inquiries that fall outside the department's core functions.
  • Responds to questions and requests by phone, MS Teams, and email, providing accurate information about divisional and departmental procedures and services.
  • Facilitates student access to academic advising by assisting students to schedule appointments for Academic Advisors; Refer students to respective program advisors and/or help them navigate college services to find appropriate resources.
  • Maintains the division's syllabi library and office hours schedule to provide accurate and timely information to students.
  • Provides program, division, and college information including course offerings, schedules, prerequisites, and testing policies as needed.

Class Schedule and Report Preparation

  • Assists Dean with annual schedule development, maintains and improves documentation of scheduling procedures and timelines.
  • Collaborates with the Dean, Assistant Dean, and Program Chairs to draft the annual course schedule, ensuring adherence to divisional and Academic Affairs annual production timelines. Monitor program submissions and track any course changes.
  • Runs reports related to scheduling and validates quarterly class schedules to ensure accuracy and adherence to policies and procedures, including instructor assignments, fees, footnotes, and any schedule changes.
  • Oversees and coordinates classroom assignment; reserves facilities in 25Live; assists faculty to reserve final exam classrooms, computer classroom scheduling, classroom change requests, and meeting room scheduling as needed.
  • Manages permission codes following established procedures; collaborates with Enrollment Services to resolve registration issues as needed.
  • Monitors course cancellations and ensure timely communication to students, faculty, bookstore, and relevant college personnel as needed.
  • Occasionally responsible for maintaining the quarterly enrollment management tracker, Providing support to division leadership in enrollment planning and decision-making.

Marketing & Outreach

  • Collaborates with Program Chairs and the Dean to develop annual marketing plans for each program; create successful partnerships across the college and the larger community to strengthen the division's programs.
  • Manages and maintains department websites using the college's content management system (i.e. WordPress), ensuring accuracy, quality, and currency in alignment with the college and division standards; assist other program webmasters with content management.
  • Collaborates with the Institutional Advancement office and Program Chairs to develop digital and print materials aligned with Bellevue College branding and college policies.
  • Collaborates with faculty to create, develop, and compile promotional materials, including flyers, posters, brochures, and other marketing materials using MS Word, Publisher, and PowerPoint.
  • Reviews and revises electronic documents for accuracy prior to publishing.  This includes, but is not limited to quarterly syllabi, program activity announcements, advertising, web posters.
  • Follows campus procedures to organize program-related meetings/events (campus catering, meals with meetings, Advisory Committee policies, etc.).
  • Posts updates and promotional content on BC FYI and social media platforms to enhance visibility of division programs, events, and student resources as needed.
  • Promotes campus programs to outside organizations. 

Administration and Office Operational Support

  • Open, close, and/or maintain division front office, mail/copy room, faculty prep room, conference room, and kitchenette; report any cleaning or maintenance issues to custodian through online request center.
  • Post cancellation notices on classroom doors for on-campus classes and support faculty in following absence reporting procedures.
  • Creates and conducts electronic surveys as needed; collects and files forms, data, and documents according to College/Division/Program procedure.
  • Maintains accurate and secure electronic record-keeping systems in SharePoint, MS Teams, and other external cloud-based business applications.
  • Handles confidential documents, information, and projects with discretion per college and FERPA guidelines, including preparation, distribution, and filing of all official signature documents.
  • Assists faculty as needed; answer questions, act as a resource, and provide clerical assistance.
  • Coordinates and arranges personnel activities such as recruitment activities.
  • Assists division leadership in onboarding new faculty and employees as needed.
  • Assists with special events and projects such as division retreats, meetings, and events, etc.

Other duties

  • Performs other duties as assigned.
     
Minimum Qualifications  
  • Associate's degree from an accredited institution. Any combination of relevant education and/or experience may be substituted for the educational requirement on a year-for-year basis.
  • Minimum of 2 years of experience in customer service roles. 
  • Experience working with a wide range of stakeholders including but not limited to colleagues and/or students in a collaborative manner.
  • Effective written, verbal, interpersonal, and communication skills including problem-solving skills.
  • Advanced proficiency in Microsoft Excel, including functions, formulas, and data analysis tools.
  • Advanced proficient in Microsoft Office (Word, Outlook, Teams, PowerPoint).
  • Demonstrated experience with digital file management, including organizing, maintaining, and retrieving electronic documents.
  • Demonstrated experience prioritizing tasks and effective project management skills with multiple projects through completion.
  • Effective time management and multi-tasking skills.
  • Experience working with WordPress or similar website software.
  • Self-starter with a demonstrated ability to work independently with minimal oversight.
Preferred Qualifications  
  • Bachelor's degree from an accredited institution.
  • Knowledge or experience working in marketing and communication.
  • Demonstrated experience anticipating office needs and initiating routine tasks in a collaborative environment.
  • Experience with data analysis, including the use of tools such as Excel, Power BI, or Tableau.
  • Experience with SharePoint or other cloud-based management platforms.
  • Work experience in higher education and/or secondary education, general understanding of the regulatory framework such as FERPA guidelines.
  • Demonstrated experience with Microsoft Office 365 applications.
  • Demonstrated experience with WA state Records Management and Record Retention.
  • Experience working with PeopleSoft, ctcLink, or similar systems.
