Job Description

Brinks seeks a detail-oriented Global Meetings & Events Project Manager reporting to the Global Director Travel to join our dynamic shared services team. In this project management role, you will be pivotal in meticulously planning and executing meetings and events to facilitate effective communication, collaboration, and achievement of business objectives. Key Responsibilities

Meetings & Events Planning and Logistics:

  • Lead all facets of meetings, including venue selection, catering, transportation, accommodations, and audiovisual requirements.
  • Develop and project manage comprehensive event timelines, schedules, and itineraries to ensure flawless execution.
  • Ensure budgetary compliance and meticulously track expenses against the project plan.
  • Collaborate with internal teams and external stakeholders to align meeting objectives with business goals.
  • Work with Global Travel Director on managing supplier negotiations.

Event Coordination and Execution:

  • Provide project management including on-site support during meetings and events, overseeing logistics, setup, and troubleshooting any issues.
  • Liaise with speakers, presenters, and attendees to ensure their needs are met, ensuring a positive experience.
  • Collaborate with third-party vendors to manage event registration, attendee lists, and communications.

Technology and Audiovisual Support:

  • Coordinate technical requirements for meetings, including audiovisual equipment, video conferencing, and IT support.
  • Lead the resolution of technical issues promptly and ensure seamless integration of technology to enhance meeting experiences.
  • Stay abreast of emerging technologies and propose innovative solutions to enhance meeting efficiency.

Documentation and Reporting:

  • Maintain accurate records, documentation, and files related to meetings, contracts, and expenses.
  • Generate post-event reports, solicit feedback from participants, and analyze data to gauge meeting success and identify areas for enhancement.
  • Prepare presentations and summaries for stakeholders and management as necessary.

Compliance and Risk Management:

  • Ensure adherence to company policies, procedures, and legal requirements pertinent to meetings.
  • Identify and mitigate potential risks associated with meeting logistics, security, and health and safety protocols.
  • Stay updated on industry trends, regulations, and best practices related to event planning and management.

Qualifications:

  • Bachelor's degree in hospitality management, Business Administration, or a related field.
  • Demonstrated experience (2+ years) in event planning, meeting coordination, or hospitality management.
  • Strong organizational and time management skills, with the ability to prioritize tasks and meet deadlines.
  • Excellent communication and interpersonal skills, with a customer-centric approach.
  • Proficiency in meeting management software Cvent and Microsoft Office Suite.
  • Ability to work independently and collaboratively in a team environment.
  • Flexibility to adapt to changing priorities and work effectively under pressure.
  • Ability to travel occasionally for on-site event support, as required.
