The Highlights: Reporting to the Associate Director, the Assistant Director, Fairs and Logistics Management plans, hosts, executes and evaluates career fairs and other career connection events, such as industry nights, coffee chats, tabling and more. They are responsible for overseeing all event logistics, including planning, marketing, communication, catering, event vendor selection, invoicing, volunteer management, execution and evaluation. The Assistant Director works closely with the other members of the team to facilitate and optimize opportunities for students to connect with industry, including employers, alumni and professionals. This position also facilitates job/internship postings via review/approval in Handshake and provides support to employers using the platform.
What You'll Do:
Event Management
- Manage 10-12 industry connection events, including planning, marketing, communication, catering, event vendor selection, invoicing, volunteer management, execution and evaluation.
- Manage collection and processing of registration fees and reconcile monthly transaction reports for fair/event revenue.
- Lead post-event debriefs with the team to analyze feedback and identify opportunities for improvement/increased efficiency.
Project Management
- Develop annual fair and events calendar with Associate Director based on Career Center strategic goals and industry engagement goals.
- Utilize project management software to create and manage event timelines and related tasks to ensure fairs and events operate efficiently and provide a consistent positive experience for participants.
Team Management
- Manage a team of 2 student employees through supervision and training.
- Support the team's professional development through mentorship, goal setting and conducting performance appraisals.
Reporting
- Develop metrics with the Associate Director to measure overall success, effectiveness and impact of fairs and events.
- Oversee event reporting on attendance data, expenses and evaluation of participant experience.
- Work with Career Fairs and Events Assistant to analyze data to identify trends, patterns and insights on participation, engagement and outcomes.
- Manages 2 student employees: Career and Fairs Coordinator and Fairs and Events Assistant.
- Manage pricing, invoicing, collection, depositing and tracking of all job fair employer fees.
- Bachelor's degree required.
- Two or more years' project management and/or event planning experience. Experience working in a university setting is preferred.
- One to two years' experience working in career development, employer relations, or campus recruiting is desirable.
- One years' work experience in a professional environment is required. Two to three years' work experience in a professional environment is preferred.
- Ability to manage and prioritize several events/projects concurrently.
- Technical skills required include working knowledge of google docs, sheets, Excel, PowerPoint/Canva and familiarity with project management tools.
- Ability to communicate effectively both orally and in writing.
- Demonstrated organizational and project management skills.
- Ideal candidate will demonstrate the ability to develop, plan and execute innovative events, maintain positive, creative energy while working in a dynamic and changing environment.
- Must be able to work occasional evenings during fair season and for specific events throughout the academic year.
- Travel between campuses required.
