
Description
This role will support First Commonwealth Equipment Finance (FCEF) responsible for managing and overseeing the process of filing and maintaining legal documents related to ownership of commercial collateral.
Essential Job Responsibilities
1. Processes UCC filings (financing statements, continuation statements, termination statements) for secured transactions across various jurisdictions.
2. Verifies accuracy of submitted information, including debtor and creditor details, collateral descriptions, and filing fees.
3. Maintains electronic and physical filing systems for UCC documents.
4. Monitors UCC filing deadlines and follow-up on outstanding filings.
5. Prepares and reports monthly unsecured titles listing, including all timely notes and activities.
6. Clears and secures all missing titles timely and efficiently.
7. Processes, tracks and maintains all paper and electronic title work.
8. Verifies vehicle ownership and lien information.
9. Releases titles upon contract termination.
10. Maintains accurate and up-to-date records.
11. Communicates with customers, dealers, state DMV agencies.
12. Ensures compliance with state and federal regulations including staying updated on changes in UCC and Title requirements.
13. Assists with other administrative tasks as needed.
Bona Fide Occupational Qualifications
1. A high school diploma or equivalent and a minimum of seven (7) years related experience required.
2. Certified Notary preferred.
3. Prior experience in a legal or administrative role related to UCC filings and/or vehicle title processing.
4. Excellent verbal and written communication skills as well as excellent interpersonal skills with a proven ability to collaborate with a team.
5. Excellent analytical and problem-solving and organizational skills with attention to detail.
6. The ability to take initiative and be self-motivated.
7. Proficient with Microsoft Office Suite or related software.
8. Proficient with or able to quickly learn systems and software used by the organization.
