To support our extraordinary teams who build great products and contribute to our growth, we're looking to add an Operations Administrator located in Milpitas, CA.
Reporting to Site Operations Management, the Operations Administrator's role involves performing confidential administrative and operations support for the Milpitas site.
What a typical day looks like:
- Manages calendar, meetings, travel, and communications for Operations leadership.
- Handles confidential information, correspondence, and incoming calls/visitors/tour requests.
- Maintains records, office supplies, and support audits/certifications (e.g., ISO).
- Oversees compliance materials and supports certification processes and related projects.
- Coordinates meetings, agendas, minutes, and follow-up actions.
- Compiles data for program reports, executive presentations, and supports continuous improvement efforts.
- Assists with program planning, project coordination, and cross-functional communication.
- Drives process improvements and resolves issues impacting timelines or customer guarantees.
- Facilitates understanding of policies, procedures, and operational updates.
- Occasional travel required.
- Support Site KPI management and WFD tools maintenance.
The experience we're looking to add to our team:
- Bachelor's degree (Industrial Engineering or Business Administration highly preferred)or equivalent experience in addition to 3 years of administrative experience supporting cross-functional teams and leadership in a fast-paced work environment (manufacturing or operations environment – a plus)!
- Proficient in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other productivity tools such as flowcharting and data entry systems, Raptor, Statis, ARCH and WorkForce Design Tools highly preferred.
- Strong organizational, time management, and prioritization skills.
- Excellent written and verbal communication and effective presentation skills.
- Solid math and data interpretation skills; advanced knowledge of functional concepts, company policies, and impact on work processes; familiarity with manufacturing operations and terminology - highly beneficial.
- Discreet and professional with confidential information.
- Familiar with ISO standards, ESD supply management, and operational compliance.
- Effective working independently and collaboratively as a liaison between leadership and staff.
