Hawthorn Senior Living currently has an immediate opportunity at our Vancouver, Washington home office for a full-time Activities Assistant. Hawthorn Senior Living is a rapidly growing senior housing company, managing independent living communities throughout the United States.
GENERAL DESCRIPTION OF POSITION
Assists in the development and promotion of activity programs for our Community Activity Coordinators, assists the Director of Activities with other responsibilities including monthly conference calls and meeting/conference planning.
REQUIRED KNOWLEDGE, SKILLS, ABILITIES & BEHAVIORS
- High school graduate or equivalent is required.
- Proficiency with operating a computer and relevant software applications including Microsoft Office (Word, Excel, Outlook, PowerPoint) preferred.
- Creativity and ability to assist with the development and production of innovative materials for motivating and mentoring Community Activity Coordinators.
- Must be detail-oriented with good organizational skills.
- Ability to prioritize and organize multiple work duties.
- Embodies a patient and creative attitude with the ability to “think outside the box”.
- Demonstrates a commitment to and respect for all individuals.
- Builds on basic learning and carries it from one situation to another.
- Takes responsibility to eliminate the source of problems.
- Demonstrates critical thinking skills in problem solving and decision making.
- Asks questions and seeks assistance as needed.
- Able to communicate effectively in English, both verbally and in writing, with residents and staff.
- Demonstrates excellent communication skills, taking into consideration body language, filters, listening, paraphrasing and questions with co-workers and residents of diverse ethnic and cultural backgrounds.
- Must be able to work efficiently and pleasantly in an extremely busy work environment.
- Must be a team player who is able to deal with difficult situations in a calm and professional manner.
- Ability to work under time constraints and meet department deadlines.
- Ability to work flexible hours, as required.
ESSENTIAL DUTIES AND RESPONSIBILITIES
- Regular, on-site attendance and punctuality is required as scheduled.
- Takes responsibility for maintaining current knowledge of the Hawthorn Senior Living Employee Handbook.
- Adheres to all company policies, procedures, and standards.
- Plan and develop monthly activities and events for the Community Activity Coordinators to execute.
- Oversee the monthly newsletters/calendars in each community.
- Train all new Community Activity Coordinators (via telephone) on how to create the monthly newsletter/calendar.
- Assist in planning and executing annual conferences (Activity Coordinator Conference, ICAA, etc.)
- Maintain Home Office bulletin boards with pictures from Community Activity Coordinators displaying monthly activities and events.
- Attend monthly conference calls with Community Activity Coordinators.
- Assist in the annual Home Office calendar project.
- Create and distribute the annual “Hawthorn Adventure”.
- Assist in planning special Home Office events such as the company picnic & Christmas party.
- Work closely with the Marketing Department (Graphic Designer) in the development of the Hawthorn Calendar, Hawthorn Adventure, and any event where a logo or graphic is required.
- Travel with the Director of Activities to support & train Community Activity Coordinators, as needed.
- Create and send out monthly A.C.T. Packet (Activities, Culinary, Theme) to all Activity Coordinators.
- Create and send out special occasion or seasonal packets when available (example: Olympic Games, Solar Eclipse, March Madness, etc.).
- Assemble Community Activity Coordinator guidebooks to send out to new Community Activity Coordinators upon hire, and follow up with telephone training.
- Perform all other duties as assigned by Director of Activities.
OTHER DUTIES AND RESPONSIBILITIES
- Performs all work assigned for the agreed-upon hourly wage, accepting no additional payment or non-perishable gifts from residents, vendors, Community Management Teams or others.
- Use time keeping system to report hours worked, on a daily basis, as well as the start and stop times of your meal periods.
- Meets the assigned work requirements of the job.
- Adheres to dress/appearance code. Changes in attire may be dictated by special occasion or weather conditions. If you have questions, check with your supervisor.
- Serves as a role model for all employees by displaying a responsible, cooperative, and positive attitude.
- Represents the Company in a professional, courteous, and friendly manner when in public.
- Understands safe and proper chemical use and adheres to safety protocols. This includes using personal protective equipment when necessary.
- Attends education and training classes as necessary to fulfill company training requirements and/or state regulations applicable to the position.
- Maintains personnel, resident, and business proprietary and/or confidential matters/material in strict confidence with management of the Company (and/or Company staff as needed).
