Position Overview:


The Administrative Assistant manages the front desk of our Johns Creek, GA office including handling confidential mail, organizing legal documents, coordinating with internal departments, booking travel accommodations and other administrative related tasks. The ideal candidate is highly organized, detail-oriented, and capable of handling sensitive information with discretion.


Location: On-site, John's Creek, GA
Work Schedule: primarily 8a-5p but must be flexible
Travel Specifics: less than 10%
Competitive Total Rewards: Competitive salary of $20.00 - $25.00, along with comprehensive benefits, including medical, dental, and vision insurance, 401(k) with company match, generous PTO, sick time, and company holidays. Compensation is based on experience, skills, and education.


 


Key Responsibilities:



  • Receive, review and sort incoming mail and legal documents.

  • Track time-sensitive items and follow up to confirm receipt and timely action, maintaining a high level of organization and accountability.

  • Prepare, maintain and organize corporate records, legal files, legal portals and databases.

  • Coordinate signatures, notarizations, and document execution processes.

  • Support legal team with scheduling, calendar management, and meeting coordination.

  • Support legal team with off-site meeting coordination and travel needs.

  • Liaise with internal departments including executive level management.

  • Request certificates of insurance and disperse as needed.

  • Perform other duties as assigned, including assisting with special projects.

  • Support the entire Legal Team as needed.

  • Follow corporate and site-specific Good Manufacturing Practices and report noncompliance when observed.

  • Observe all company safety rules and assist in enforcement as appropriate.

Qualifications

Minimum Qualifications:

  • Proficient in Microsoft Office (Word, Excel, Outlook, PowerPoint), SharePoint
  • Expert using DocuSign or a similar software
  • Excellent verbal, written, and interpersonal skills
  • Strong problem-solving and critical-thinking abilities
  • Willingness to adapt to changing priorities and legal requirements
  • Experience managing competing priorities
  • Ability to excel in a fast-paced environment
  • Detail oriented, organized and highly responsive
  • Ability to work independently and collaboratively with C-suite leaders and cross-functional teams

 

Preferred Qualifications:

  • Experience supporting corporate and legal functions preferred
  • Experience with legal document management systems a plus
  • Experience working in logistics, transportation and supply chain a plus
  • Notary a plus
