Kamehameha Schools is currently looking for an Athletic Director for the Kapālama Campus. This position will be a 3-yr defined term opportunity.
Job Summary
Responsible for directing the organization and administration of the campus' K-12 athletic program as a member and participant of the specific interscholastic league and the Hawaii High School Athletic Association (HHSAA) and other sports leagues. Responsible for upholding a coaching framework dedicated to educating and empowering a community of leaders who are grounded in KS' learner outcomes, and share in a commitment to student-athletes and Hawaiian culture-based education. Recommends the hiring and termination of regular and temporary staff (to include coaches and support staff), responsible for the supervision and evaluation of all coaching staff. Directly responsible for all aspects of K-12 athletics.
Essential Responsibilities
- Ensures smooth operations of K-12 athletic sports teams to include developing and following up on sports schedules, league policies and procedures, fundraising, risk management issues, checking team trips, transportation, food requests, facility scheduling, reviewing and purchasing athletic supplies, equipment, and uniforms; reviewing try-out rosters and student eligibility lists, athletic participant forms, HHSAA sanction forms, class excuses, progress reports, and reviewing medical procedures and injury lists. Works closely with teachers, parents, and administration.
- Maintains effective functions of K-12 athletic activities as an active participant in the respective league. Responsible for developing schedule(s), running preseason and postseason evaluation meeting, securing facilities and officials, address sport appeals and rule interpretations, and serving as sport liaison between sport coaches, media, and officials. Responsible for attending all Athletic Director's meetings and Executive Board meetings in absence of Principal/Director of Campus Athletics and Human Performance. Duties include developing policy, serving on executive committees (ex. ADCA, HIADA, NIAAA), assisting in HHSAA tournaments statewide, and attending summer HIADA conference to vote on issues.
- Effectively collaborates with KS departments on wide variety of projects. Attends meetings and planning sessions to clarify policies and procedures. Works directly with Operations for transportation, event management, and external requests for facilities. Works closely with Human Resources to process all coaching applicants and personnel inquiries. Assists High school leadership team as needed. Recommends program enhancements (i.e., TAP requests, capital improvements, permanent equipment, moveable equipment, etc.) as well as prepares related budgets to maintain a comprehensive athletic and extracurricular activity program for participating students. Works closely with counselors and teachers to support student academic issues.
- Recommends hiring and firing of coaches to the Principal/Director of Campus Athletics as well as provides supervision during practices and competitions. Onboards new coaches within the KS coaching framework. Monitors progress of all coaches and athletes. Meets weekly with head coaches to keep abreast of issues. Facilitates meetings with parents/ coaches as needed. Coordinates preseason and evaluation meetings for all sports. Collaborate with coaches to address preseason, season, and postseason demands. Provides continuous education opportunities for coaches. Independently evaluates or participates in evaluation of coaches and staff. Works closely with team head coaches, advisors and trainers.
- Attends athletic and extracurricular activity events to support coaches, advisors and students. Provide administrative coverage at home and away events to manage risk. Works to develop rapport with parents, alumni, and the community. Ensure Home events are properly supervised and supported. Coordinate ticket takers, volunteers, visitor support, concession support, gate collection, cleanup, and risk management. Coordinate with Athletic Trainer for proper coverage of all athletic events.
- Develops and manages authorized athletics budget and long range athletic department plans. Monitors approved budget by updating expenditures, reconciling account balances, and providing monthly account reports for supervisor's review. Responsible for maintaining appropriate budgetary records and account files and ensuring timely submission of payroll timesheets. Works with coaches and athletic representatives to adhere to KS established financial and purchasing procedures. Provides general accounting services, which includes reviewing a variety of forms and attachments to ensure compliance with operating policies and procedures and verifying account numbers and object codes. Prepares and solicits bids for athletic department needs. Coordinates purchases for the athletic department and schedules delivery of merchandise. Responsible for implementing procedures for inventory management associated with athletic supplies and equipment.
- Performs other related duties as assigned or requested.
Position Requirements
Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.
- Bachelor's Degree.
- Minimum of 5 years of directly related athletic or school-related activity administration experience as well as coaching and/or adviser experience.
- Experience managing, mentoring and directing a large staff of regular and temporary staff
- Excellent communication and interpersonal skills to relate effectively with a variety of individuals to include students, coaches, other KS staff, physicians, parents, teachers, administrators, media personnel, alumni, etc. Skilled in conflict resolution.
- Knowledge of National Federal High School Sports Rules, MIL Policies and Procedures and HHSAA Policies and Procedures.
- Ability to work flexible hours to include evenings and weekends on a regular basis as well as off-island travel.
- Working knowledge of budget development and administration.
Preferred Qualifications
- Certification in Athletic Administration.
- Five years as Head Coach in a major sport or Director of major Student Activity (e.g. Drama, Band).
- Familiarity with employment and personnel laws.
- Knowledge of and sensitivity with Hawaiian culture and Christian values.
Physical Requirements
- Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
- Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
- Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.
Working Conditions
- This position may involve traveling to various locations, including neighbor islands to conduct business.
- Work is conducted in an office/school environment and may require work to be conducted in non-standard workplaces.
- Work is typically conducted Monday through Friday at normal business hours but evening and weekend hours are often required to meet goals and objectives.
