Kamehameha Schools' Advancement team is for a Donor Database Specialist. Our ideal candidate will have experience administering Raiser's Edge (or comparable donor management systems).

This position is on-site at our Kawaiaha'o Plaza location.

Relocation assistance is not available.

Job Summary

Serves as Raiser's Edge database administrator for the Office of Advancement. Responsibilities also include accurate daily gift processing and prospect research and analysis of potential donors using Wealth Engine prospect software and other prospect research resources. Designs, develops, and tests Raiser's Edge queries and reports to provide accurate gift and donor information to the Executive Director and Development staff.

Essential Responsibilities

Database Administrator

  • Oversees the administration and implementation of the Raiser's Edge (RE) NXT software system for the Office of Advancement.
  • Implements and maintains the RE system, including all donor, friend, Kamehameha Schools (KS) alumni, faculty, staff, retiree and student records.
  • Trains and works closely with the Office of Advancement staff in KS Kapalama, KS Maui, and KS Hawaii campuses on software system to ensure data integrity, security, timeliness and accuracy. Serves as liaison with Information Technology Department (ITD), as well as with Blackbaud (RE Corporate Office) for any maintenance, upgrades, problems, troubleshooting, or needed services.
  • Works with marketing vendors to update RE records from external KS communications.
  • Integrates additional computer software and platforms with RE to service the Office of Advancement, donor relations, alumni relations, special events, and communications efforts.
  • Sets up event registration for tickets, sponsorships, auction items, and financial transactions in the RE system as needed.
  • Establishes policies and standard operating procedures to create, document, and maintain an effective prospect management and tracking system.

Gift Processing

  • Ensures that contributions and gifts are recorded and processed according to established procedures daily and accurately. Responsible for all bank deposits, pulling of contributions from online donation site, KS payroll deductions, credit card, and direct debit transactions.
  • Serves as the liaison with KS Finance to process weekly gift transactions, conduct reconciliations, and respond to audit requests. 
  • Establishes and maintains a pledge/recurring gift reminder system for all pledges and recurring gifts, and communicates with donors via phone, email, and/or written communication on status of gifts as needed.

Reporting

  • Designs, develops and tests queries and reports necessary for accurate information delivery, including gift and donor reports, tax statements, campaign reports, weekly reporting to leadership, donors, alumni and friends mailing lists and labels, email blasts, and any other query and reporting necessary for daily functioning of the Office of Advancement.
  • Coordinates the flow of contributions from input of data to updating biographical information and demographic linkages to donor records.
Position Requirements

Minimum Qualifications - An equivalent combination of education and experience may substitute for the requirements listed.

  • Bachelor's Degree in Business, Information/Computer Science, or related field.
  • Minimum of 3 years of related work experience.
  • Excellent analytical skills to review queries/reports to ensure data integrity and accuracy.
  • Knowledge and working experience utilizing Raiser's Edge or other fundraising and donor management software.
  • Good understanding of information systems applications, designs and computer platforms (i.e. relational databases, report writing, word processing, spreadsheets, presentation applications, etc.), and financial reporting.
  • Excellent verbal and written communication skills to communicate and negotiate effectively and professionally with various levels of management, staff, vendors, alumni, donors and other constituents.
  • Excellent interpersonal skills to effectively train staff and develop a positive working relationship with a variety of audiences, both external and internal constituents.
  • Excellent organizational skills to take the lead in project related tasks, prioritize and meet deadlines.
  • Must be detail oriented with the ability to problem solve.
  • Ability to manage confidential information with tact and diplomacy.
  • Ability to work flexible hours as needed.

Preferred Qualifications

  • Knowledge of Kamehameha Schools and Pauahi Foundation and its mission.

Physical Requirements

  • Frequently sits, perform desk-based computer tasks and grasp light or fine manipulation, talk or hear.
  • Occasionally stand and/or walk, write by hand, and lift and/or carry, push and/or pull objects that weigh up to 10 pounds.
  • Rarely twist, bend, stoop, squat, kneel, crawl, climb, reach or work above shoulder, or grasp forcefully.

Working Conditions

  • This position may involve traveling to various locations, including neighbor islands to conduct business.
  • Work is conducted in an office environment and may require work to be conducted in non-standard workplaces.
  • Work is typically conducted Monday through Friday at normal business hours.
