Job Title: Accounts Payable Analyst / Front Office Administrator
Location: Santa Clara, CA
Pay Rate: $28 per hour
Shift:
M-F, 7am – 4pm (with 1-hr lunch)
or 7:30am – 4pm (with 30-min lunch)
Position Type: Temp to Perm
Role Overview
Seeking a dedicated Office Administrator with a strong background in Accounts Payable to support front office operations and manage all aspects of accounts payable. This role is ideal for an organized professional who can balance administrative duties with meticulous financial tasks in a fast-paced office environment.
Accounts Payable Responsibilities
- Oversee all accounts payable functions including proper coding, preparing checks, and researching invoices.
- Ensure accurate processing of all payable transactions (credit card, check, ACH) and record daily in the accounting system.
- Handle employee expense processing with appropriate approvals.
- Enter purchase orders and provide information to vendors.
- Receive new contracts/change orders, submit for approval, and maintain contract folders.
- Prepare close-out documentation for completed projects and provide to contractors.
- Issue Certificates of Insurance (COIs) and manage related documentation as needed.
Front Office Administrator Responsibilities
- Answer and route incoming phone calls to appropriate team members.
- Monitor office supply inventory and order as necessary.
- Maintain office equipment such as copiers, postage meters, coffee machines, and water coolers.
- Post incoming mail and manage outgoing shipments (FedEx, UPS, etc.).
- Perform day-to-day administrative duties as required by employees.
- Distribute work order copies to fabrication department staff.
- Coordinate Certificates of Insurance for customers through insurance brokers.
- Prepare and send Pre-Lien and Lien Release letters for contract projects to relevant stakeholders.
Required Skills & Qualifications
- 2–3 years of accounts payable experience or an equivalent combination of education and experience.
- Ability to work independently as well as part of a team.
- Proficiency in Microsoft Office suite (Outlook, Word, Excel), MYOB, and ability to learn new accounting software such as Quickbooks.
- Strong oral and written communication skills.
- Excellent organizational skills and attention to detail.
