                                                    Accounts Payable Specialist

Job Summary:
Join our dynamic Financial Services Department as an Accounts Payable Specialist! In this vital role, you will ensure accurate record-keeping of all Accounts Payable transactions while supporting monthly accounting duties. Your contributions will be essential in maintaining our vendor database and assisting with cashier and credit card administration tasks. Job Specifications:
- Job Type: Full-Time
- Location: Appleton, WI
- Pay Rate: $22-$25/hour
- Shift: Monday – Friday  8:00AM to 5:00PM

Roles and Responsibilities:
- Process vendor invoices, expense reimbursements, check requests, and other disbursements.
- Code payments accurately to the general ledger accounts.
- Audit invoices for accuracy, discounts, taxes, and approvals before entry.
- Manage weekly check runs and EFT payments to meet payment deadlines.
- Ensure compliance with invoice approval policies through effective communication.
- Maintain the vendor database, including W-9 forms.
- Prepare annual 1099 forms timely.
- Assist with credit card administration and cashier duties as needed.
- Conduct daily cash balancing for the University's main operating account.
- Update procedures and documentation regularly to maximize efficiency.
- Reconcile and prepare monthly and annual journal entries.
- Collaborate with Financial Services team members, staff, faculty, and vendors.

Qualifications & Skills:
- Associate's Degree or equivalent work experience required.
- Minimum of 2-3 years of experience in accounts payable or accounting.
- Preferred cash handling and customer service skills.
- Proficient in Microsoft Excel and accounting software.
- Strong organizational skills with the ability to prioritize tasks effectively.
- Excellent problem-solving abilities and attention to detail.
- Exceptional verbal and written communication skills.
