What's a typical day as an Administrative Assistant? You'll be:
- Providing front-desk coverage and serving as the first point of contact for all visitors, customers, executives, contractors, and external callers.
- Managing the executive calendar and coordinating travel arrangements for the unit manager.
- Maintaining confidential items and acting as a Record Coordinator, ensuring compliance with the record management policy.
- Supporting department meetings and events by reserving and preparing meeting rooms, coordinating logistics, and ensuring successful execution.
- Delivering daily administrative support, including preparing budget and expense reports, managing phone calls and visitor traffic, supporting new hire onboarding, and handling procurement of goods and services.
This job might be an outstanding fit if you:
- Have a High School Diploma and 3-5 years of administrative and/or procurement experience.
- Possess strong time-management and organizational skills along with excellent communication (written and verbal) and customer service skills.
- Are detail-oriented with the ability to read and interpret company policies, procedures, and guidelines.
- Are proficient in Microsoft Office software (Word, Excel, PowerPoint, Outlook) and have a working knowledge of corporate spending reports.
- Have the ability to lift and/or move up to 30 pounds.
Preferred Qualifications:
- A Bachelor's Degree in Business Administration, Management, or a related field.
- Experience as a front desk receptionist and proficiency in SAP platforms (procurement and maintenance functions) and HCL Notes.
- Strong data analysis skills and experience in Shipping & Receiving and/or mailroom operations.
- Experience managing building access control systems and vendor management, particularly in a 6S and safety-conscious environment.
