Job Title: Administrative Assistant
Job Description: We are seeking a highly organized Administrative Assistant I to join our small office team. The successful candidate will provide essential clerical support and manage a variety of administrative tasks to ensure smooth daily operations.
Responsibilities:
- Utilize Excel, Word, and QuickBooks for various office tasks
- Maintain strong organizational and time-management skills to effectively prioritize work
- Ensure attention to detail and accuracy in all duties
- Work independently and manage multiple tasks simultaneously
- Deliver the highest level of customer service through phone, email, and in-person interactions
- Operate office equipment including copy machines and scanners
- Manage collections and follow up on messages and emails
- File documents and maintain accurate record keeping systems
- Monitor office supply inventory and coordinate replenishment when needed
- Prepare and update side job worksheets; open mail, enter deposits, and post payments
- Assist with billing and payment processing
- Enter new estimates and client data into QuickBooks
- Track weekly received checks and maintain records
- Process vendor invoices using Excel, and prepare for end-of-month payments, recording all expenses on the Total Monthly Expense Sheet
- Complete various miscellaneous office tasks as needed throughout the year
Requirements:
- Prior experience in an office setting preferred
- Proficiency in Excel, Word, and QuickBooks highly desirable
- Strong communication and interpersonal skills
- Ability to maintain accuracy, prioritize tasks, and multitask in a fast-paced environment
- Demonstrated initiative working independently as well as collaborating with team members
- Commitment to providing excellent customer service
