Schedule: Mon – Fri 8:00am – 5:00pm, Hybrid (3 days onsite)
Payrate: $45 per hour 
 
Reporting to the vice president and head of investor relations, the Executive Assistant will provide support to both the head of investor relations and the chief communications officer.  The Executive Assistant's responsibilities will require flexibility, a positive attitude and receptiveness to changing responsibilities, multiple demands, and an ability to make effective decisions. The incumbent should bring a positive and professional demeanor as well as a “teamwork” orientation to all aspects of their work.

Key responsibilities:

  • Manage complex executive calendars and strategically prioritize based on business needs.
  • Oversee end to end planning for quarterly earnings and sell-side calls, partnering with IT teams and third party vendors to ensure seamless execution.
  • Schedule high profile meetings, including investor and analyst engagements, as well as global quarterly town halls.
  • Manage arrangements and scheduling related to the Company's participation at external investor conferences.
  • Prepare comprehensive briefing books for senior executives, including quarterly earnings materials and investor conference presentations.
  • Draft, prepare, and distribute communications on behalf of the executive.
  • Coordinate domestic and international travel, including flights, ground transportation, and hotel accommodations, and develop detailed itineraries.
  • Process expense reports, invoices, purchase orders, and contracts, and assist with ongoing budget tracking.
  • Review email and printed approval requests (e.g., contracts, expenses) to ensure timely, accurate processing in alignment with company policies and the authority matrix.
  • Prepare PowerPoint presentations and other materials as needed.
  • Triage general investor relations telephone and email inquiries, representing the executive team professionally to internal and external stakeholders.
  • Support special projects and cross functional initiatives as assigned.
  • Provide backup administrative support to the Office of the Chief Financial Officer

Qualifications:
  •  Bachelor's degree (preferred)  
  • Minimum of 10 years of demonstrated expertise in an executive administrative function with at least 5 years of experience supporting a c-suite executive in a publicly traded company
  • Superior attention to detail with an ability to maintain consistent and high levels of performance
  • Maintain confidentiality and discretion
  • Strong ability to work in a time-sensitive, fast-paced environment
  • Ability to multi-task
  • Track record of demonstrating ownership and execution of primary responsibilities, anticipating needs, and resolving issues quickly/effectively
  • Excellent verbal and written communication skills; respectful and approachable demeanor
  • Ability to manage expectations and meet deadlines, work beyond core hours as needed, with a willingness to remain in contact after-hours/weekends as necessary
