Executive Assistant III

Location: Boston, MA 02118
Schedule: Mon–Fri, 9:00 AM – 5:00 PM (Hybrid; in-office days set by hiring manager)
Pay Rate: $38.33/hr

Essential Job Functions (Core Duties)
  • Provide high-level executive support to senior leadership within the Department of Medicine.

  • Manage complex calendars, coordinate meetings, arrange travel, prepare meeting materials, and maintain correspondence and documentation.

  • Support department operations including conference room scheduling, supply ordering, processing reimbursements, and handling purchase orders.

  • Assist with faculty HR processes such as reviewing offer letters, maintaining personnel files, tracking new hires/terminations, and supporting appointments & promotions workflow.

  • Plan and support department-wide meetings, events, and special initiatives (Evans Research Days, DEIA Week, etc.).

  • Compile, organize, and present faculty, staff, and departmental statistical data.

  • Deliver high-quality administrative support for special projects assigned by senior leadership.

Must-Haves / Requirements
  • Strong proficiency with Microsoft 365 (Outlook, Word, Excel, PowerPoint, Access).

  • Advanced calendar management experience supporting executives or senior leaders.

  • Experience preparing meeting materials, taking minutes, and tracking communications.

  • Ability to coordinate meetings and events, including catering, AV/technical needs, booking rooms, and speaker logistics.

  • Experience processing reimbursements, purchase orders, and office supply orders.

  • Strong documentation, organization, and data presentation skills.

  • Ability to track, organize, and maintain personnel or HR-related files.

  • Excellent written and verbal communication skills.

  • Strong professionalism, confidentiality, and attention to detail.
