Kelly Government Solutions is seeking a highly motivated Executive Administrative Assistant to provide comprehensive executive and office management support for a development team located in East Hartford, CT. The ideal candidate will be self-reliant, detail-oriented, and adaptable, with the ability to handle a wide range of administrative tasks under minimal supervision. This role requires professionalism, sound judgment, and strong problem-solving skills, along with a positive, can-do attitude. This is an onsite role requiring active security clearance.
Key Responsibilities
- Perform administrative and clerical tasks with a high degree of accuracy and attention to detail.
- Manage complex calendars, ensuring meetings include agendas, logistics, and necessary equipment.
- Screen and field incoming inquiries, communications, and scheduling requests efficiently and confidentially.
- Handle sensitive and confidential information with discretion.
- Process and track invoices for office supplies, catering, and activities.
- Plan and arrange domestic and international travel, including timely preparation and reconciliation of expense reports.
- Format presentations and prepare documents in Microsoft Office (Word, Excel, PowerPoint).
- Develop Standard Work procedures where applicable.
- Provide onboarding assistance for new employees.
- Support special projects and assignments as needed.
- Manage seating assignments, distribution lists, and office-wide announcements.
- Maintain conference rooms and resolve scheduling conflicts.
- Oversee Eurest catering, kitchen supplies, and office catering needs.
- Coordinate and escort facility cleaning services.
- Submit and track plant maintenance requests.
- Manage printer support (paper, toner, issue resolution).
- Facilitate office renovation projects.
- Partner with IT/Secure Computing Digital Team for technical coordination and prioritization.
- Coordinate office moves, token distribution, and general administrative support.
- Lead and support employee engagement activities and office events.
- AA/AS degree, Technical/Business School Certificate or Diploma, or equivalent post-secondary training.
- 5+ years of administrative support experience, including direct support for senior executives.
