Job Title: Leasing Administrator

Hours: Monday – Friday, 8:00 a.m. – 5:00 p.m.
Classification: Direct-Hire, Non-Exempt
Salary Range: $55,000 – $65,000

Position Summary:

We are seeking a detail-oriented and experienced Leasing Administrator to support our Commercial Leasing Team. This role plays a vital part in managing legal and lease-related processes, assisting in the preparation and review of leasing documents, and ensuring timely coordination across departments. The ideal candidate will have strong legal administrative experience, particularly in commercial real estate, and be proactive in streamlining leasing operations.

Key Responsibilities:
  • Provide administrative and paralegal support to the Commercial Leasing team, as well as Property Management, Construction, and Accounting departments.

  • Draft, review, and track commercial lease documents and related correspondence in compliance with company standards.

  • Facilitate internal communications to ensure timely responses to tenant and legal inquiries, lease drafts, and related documentation.

  • Respond to and coordinate with tenants, tenant counsel, vendors, and internal/external partners; escalate requests as appropriate.

  • Draft and distribute notices including delivery dates, force majeure, permit requests, lease violations, and other legal communications.

  • Identify workflow bottlenecks and implement process improvements in collaboration with other departments.

  • Act as a subject matter expert in commercial leasing documents; identify and flag unfavorable tenant revisions for further legal review.

  • Support and provide oversight to Leasing Coordinator(s); assist with training and process optimization.

  • Monitor rent commencement timelines; post tenant delivery, confirm permits/opening dates, and issue Notice of Rent Commencement.

  • Ensure lease documents reflect company specifications and negotiate adjustments with stakeholders when necessary.

Qualifications:
  • Bachelor's degree in Paralegal Studies, Law, or related field required.

  • Minimum of 7 years of experience in commercial real estate leasing or legal support.

  • Strong understanding of commercial lease terms, documents, and legal processes.

  • Proficiency in Microsoft Office Suite (Word, Excel, Outlook); intermediate Excel skills required.

  • Excellent written and verbal communication skills.

  • Strong organizational skills with the ability to manage multiple priorities and deadlines.

  • Experience proofreading legal documents preferred.

  • Demonstrated ability to streamline administrative procedures and improve team efficiency.

Performance Standards:
  • Ensure all lease documents are error-free and accurately reflect specifications from Leasing Agents.

  • Maintain up-to-date leasing spreadsheets and databases with precise, timely data entry.

  • Provide timely responses to client and team communications with professionalism and accuracy.

  • Manage calendars and scheduling for meetings, lease milestones, and deadlines.

  • Deliver assignments efficiently, with minimal need for follow-up or correction.

  • Promote a collaborative and productive environment with Coordinators and other team members.

Work Environment & Physical Demands:
  • Standard office environment; regular use of computer and telephone.

  • Sedentary work with occasional lifting (up to 20 pounds), bending, and reaching.

  • Repetitive hand motion typical in office tasks.
