Job Title: Office Administrator
Location: Farmington, CT
Position Type: Full-Time | In-Office
Schedule: Monday – Friday, 8:00 AM – 5:00 PM
Compensation: $26 – $28 per hour (based on experience)

Position Overview:

We are seeking a highly organized and dependable Office Administrator to join our team in Farmington. This full-time, in-office role is essential for keeping daily operations running smoothly by managing mail processing, document preparation, office supply inventory, and general administrative support. The ideal candidate is proactive, detail-oriented, and capable of working independently with minimal supervision. You must be comfortable handling sensitive and confidential information, including Protected Health Information (PHI).

Key Responsibilities:

Mail Processing

  • Open, scan, and distribute incoming mail promptly.

  • Organize and file digital and physical copies as needed.

Document Management

  • Print, assemble, and mail packets to insurance companies and other recipients.

  • Ensure accuracy and completeness of all outgoing documentation.

  • Track and confirm deliveries.

  • Maintain clear communication with internal team members.

Office Supply Management

  • Monitor inventory levels and reorder supplies as necessary.

  • Maintain an organized supply system to ensure availability.

General Office Support

  • Provide administrative support to office staff and leadership.

  • Answer and route calls from the main phone line.

  • Greet and assist office visitors.

  • Coordinate team lunches and office activities.

  • Maintain office equipment and manage service contracts.

  • Assist with accounts payable tasks.

  • Act as primary point of contact for vendors, including landlord and service technicians.

  • Coordinate basic IT needs in conjunction with IT vendor.

  • Lead office safety procedures.

  • Maintain email distribution lists.

  • Assist with onboarding new hires in the expense reimbursement system.

  • Support HR tasks and maintain employee records.

Qualifications:
  • Proven experience in an administrative or office support role.

  • Must be available to work in the Farmington office, Monday–Friday, 8 AM–5 PM.

  • Ability to handle sensitive and confidential information.

  • Strong attention to detail and accuracy.

  • Self-motivated and able to work independently.

  • Excellent organizational and communication skills.

  • Proficiency in Microsoft Office (Word, Excel, Outlook); scanning software familiarity.

  • Apple/Mac proficiency highly preferred.

  • Ability to lift up to 30 lbs.
