Project Coordinator
Kelly Services is currently seeking a Project Coordinator for one of our top clients in Blue Ash, OH.
KEY JOB RESPONSIBILITIES:

  • Provide administrative support for franchise two to three Senior Director s Coordination of franchise meetings events, both on off-site
  • Will collaborate with all R D Leadership to coordinate meetings with a West Coast affiliate.
  • This will include working with administrative support at that affiliate to confirm agenda / travel arrangements as well as communicating with CWT to arrange travel and hotel requirements and communicating with the key team members to relay critical meeting information.
  • Provide project updates, help maintain project schedules, budgets, etc.
  • Will include scheduling project related meetings for the clients Leadership Team, which includes communication to internal / external team, travel arrangements, correspondence with surgeons and/or assistants, logistics, etc.
  • Manage complex travel accommodations and coordinate complex meeting schedules to ensure all internal and external stakeholders can attend necessary portions of concurrent meetings.
  • Represent company by displaying superior communication skills with internal / external candidates and act as on-site coordinator for interviews / on-boarding activities.
  • Will be the central point of communication with our candidates for hire.
  • Ordering office supplies, on-boarding supplies for new team members, coordination of start dates, badging access, and training needs with IT, Security, and Training Teams Preparation reconciliation of expense reports in a timely manner
  • Preparation of presentation materials utilizing word processing graphics software.
  • Maintenance of appointment calendars, organizational charts, and job descriptions
  • Correspondence of general nature from marginal notes verbal communication
  • Processing or assistance with human resources HRS forms as needed.
  • Facilitate communication flow throughout franchise; coordinate office moves for franchise associates.
  • Act as liaison between staff / associates / other departments director / manager
  • Assure that requests are handled efficiently, effectively courteously.
  • Work closely with other R D support associates.
  • Establish, organize, and maintain franchise files to comply with Corporate Record Retention Policy Interface with other facilities, suppliers contractors as required.
  • Business applications, ARIBA and eMarketplace [Global Purchasing , Concur Travel and Expense Reporting

EXPERIENCE
  • High School diploma required; 2-year degree in business, technical or equivalent job experience preferred.
  • 5 - 10 years of progressive administrative experience; product development organizational experience a plus
  • Must have experience supporting Senior level staff.
  • Experience in a fast-paced, team-based work environment.
  • Interpersonal skills to deal effectively with internal external customers - all levels.
  • Highly proficient in all MS Office products and Outlook
