Description

We're seeking a Site Coordinator to work at a premier client in Los Angeles, 90039. 

2–3-month project 
Pay Rate range: $25-$35 DOE
Monday-Friday 7am-330pm

The Site Coordinator will be responsible for supporting various operational functions across the site, including purchasing supplies, ensuring compliance with HR and Environmental Health and Safety (EHS) tasks, assisting departments with critical processes, and coordinating on-site events and meetings. This role involves multitasking between procurement, administrative duties, and supporting site-wide initiatives while ensuring a smooth and well-functioning site environment. The ideal candidate will be detail-oriented, proactive, and have the ability to manage multiple priorities efficiently.

Key Responsibilities:

  1. Purchasing & Procurement:
    • Purchase supplies for Production, Planning, Packaging, Warehouse, and Receiving departments.
    • Enter purchase orders into Ariba and ensure timely follow-up and liaison with vendors and corporate buyers.
    • Manage returns and credit memos and respond to queries from Genpact.
    • Oversee forklift lease payments, including vendor management for Wells Fargo & HYG, and ensure timely payment of related invoices.
    • Assist with the reconciliation of purchases related to Cintas Uniforms, WEX Pcard, Concur, and Airgas Dry Ice.
    • Support SAP/Ariba queries from site personnel and assist with purchases.
    • Maintain records of purchase orders and receipts, ensuring proper documentation for audit purposes.
  2. Department Support:
    • Assist in confidential HR and EHS related tasks and compliance projects.
    • Assist with coordinating and organizing programs, audits, and other related activities.
  3. Production & Site Coordination:
    • Support the filing, maintaining, and retention of production process orders.
    • Assist various departments, including Production, Quality, EHS, Product Development, Logistics, Supply Chain, and Maintenance, with site support needs.
    • Respond to requests and provide backup support for PF (Process Formulation) sheet closure as needed.
  4. Event & Meeting Coordination:
    • Order lunch and refreshments for on-site meetings, ensuring timely delivery and variety of options.
    • Coordinate the logistics for site events, including team-building activities, training sessions, and other departmental events.
    • Organize birthday celebrations and other special events for employees, including decorations and organizing group activities.
    • Refill drinks in conference rooms, ensuring they are stocked with water, coffee, and other beverages.
    • Order snacks, utensils, and other necessary items for site events and meetings.
  5. Office Supply Management & Miscellaneous:
    • Oversee office supply management, ensuring appropriate stock levels and timely reordering.
    • Act as the primary contact for email correspondences and handling of tax certificate completions.
    • Perform other administrative duties as required to support day-to-day operations on-site.
Qualifications:
  • High school diploma or equivalent; associate or bachelor's degree preferred.
  • Previous experience in a coordination or administrative support role, ideally in a manufacturing or industrial setting.
  • Familiarity with procurement systems such as Ariba and SAP is a plus.
  • Strong organizational and time-management skills.
  • Ability to work independently as well as part of a team.
  • Attention to detail and strong communication skills.
  • Knowledge of HR and EHS compliance is desirable.
  • Experience managing vendor relationships and reconciliation processes.
  • Proficiency in Microsoft Office Suite (Excel, Word, Outlook).
  • Previous experience coordinating events and managing on-site meetings is a plus.

Working Environment:
  • This role will involve a combination of office work and interaction with various departments across the site.
  • Occasional exposure to production and warehouse environments, where safety procedures must be adhered to at all times.
