Title and Summary
Executive Assistant OverviewThis position will support Senior Vice Presidents based in both Purchase and New York City on the North America Products & Innovation team by performing general administrative duties to support day-to-day department operations in such areas as telephone coverage, scheduling of meetings, travel arrangements, expense reporting, calendar management, organizing team events, ordering supplies, and maintaining department records.
Role
• Prepare correspondence, memoranda, reports, presentations or other assigned projects
• Manage team meeting scheduling, organization, agenda preparation, room logistics and pre-read distribution
• Make travel arrangements for domestic and international trips as needed, prepare packets for travel
• Prepare expense reports for approval
• Assist with new hire on-boarding process in conjunction with HR
• Manage other day-to-day tasks as needed to support the team – answer phones, coordinate with facilities, mail room, help desk, etc. as necessary
• May research special topics as assigned
• Serve as administrative liaison with others within and outside the company
All About You
• Solid administrative experience in a corporate environment interfacing with senior and executive level management and customers
• Attention to detail with strong verbal and written communications skills
• Strong interpersonal skills and ability to work in a team setting
• Ability to be proactive and foresee and address issues
• Demonstrated ability to manage time and track and execute upon multiple commitments
• Ability to exercise discretion and appropriately handle confidential information
• Ability to function well in a busy and varied environment and work well under pressure
