Provides administrative support to assigned executive(s) (Vice President/Senior Vice President) exercising confidentiality, tact and diplomacy. Interacts with a diverse group of callers and visitors, as well as internal contacts at all levels of the organization. Plans, prioritizes and organizes workload.
This position has the option to work hybrid. Seeking applicants that reside within a 50 miles radius of the Brooklyn, OH.
Responsibilities
- Provides administrative support to assigned Vice President(s).
- Corresponds through multiple media channels.
- Manages calendars and appointment scheduling.
- Receives visitors.
- Fields phone calls, mail, and email.
- Safeguards the executive from distractions and interruptions; redirects as appropriate.
- Performs triage as necessary.
- Uses business software applications (word processing, presentation, and spreadsheet) to prepare/generate reports, correspondence, presentations, meeting minutes, etc.
- Prepares and tracks purchase orders, expense reports, system access requests, and supply orders.
- Coordinates meeting logistics, including facilities, equipment and travel arrangements.
- Acts as a liaison with other departments and outside agencies, including high-level staff.
- Performs other duties as assigned.
Qualifications

Education and Experience
- Associate degree in business administration or related field or equivalent post high school vocational and/or formal training program for administrative assistant/office management.
- 3 years administrative assistant experience, preferably supporting senior level management in a financial services or healthcare environment.
Professional Certification(s):
- Certified Administrative Professional or related certification preferred.
Technical Skills and Knowledge
- Knowledge of expense account preparation, budget reporting, making travel arrangements, and managing executive schedule.
- Knowledge of standard office procedures and equipment operation (multi-function copier, multi-line phone, etc.).
- Intermediate to advanced Microsoft Office skills.
